The Salvation Army Executive Assistant in West Nyack, New York

Overview

  • Assists the TPWM/TLOD and TSWM/TSODC with fulfilling their responsibilities by handling a wide variety of situations involving the administrative and program functions of their offices. Support the administration and oversight of Ministry to Women and Officer Development in the territory. The TPWM and TSWM are positions of executive leadership, therefore the Executive Assistant will liaise with other departments and bureaus within THQ ensuring a good working relationship with employees and officers as well as all Commands within the territory. Bearing in mind that the various branches of the Army form one whole, the EA will maintain both a representative and a supportive role. A clear understanding in these matters is necessary for an effective working relationship.

Responsibilities

  • Maintain a position of trust and confidence.

  • Maintain digital communication with the positional mailboxes for the TPWM/TLOD including USETPWM, useofficerdevelopment.

  • Maintain the calendar for the TPWM/TLOD and TSWM/TSODC – E-mail, Teams and master calendar.

  • Maintain incoming mail and respond appropriately or as directed.

  • Maintain filing – both electronic and hard copies.

  • Maintain and update operational manuals (briefs) pertaining to the office of the TPWM/TLOD.

  • Schedule meetings and appointments for the TPWM/TLOD and TSWM/TSODC as directed.

  • Maintain all detail including the scheduled use of the TCs Apt. at CFOT.

  • Maintain confidential records and information pertaining to Boards, Councils, Cabinet, National Advisory Board (NAB) and Commissioner’s Conference.

  • Assist with program initiatives and development as directed by the TPWM/TLOD.

  • Assist the TPWM/TLOD and TSWM/TSODC with hospitality responsibilities as directed.

  • Maintain expenditure records and corporate card reconciliations and processing as directed.

  • Begin the preparation and review of department budgets as directed.

  • Maintain lists of birthdates, anniversaries, etc. of Territorial Executive Council.

  • Be responsible for the design and creation of the Cabinet Christmas Card at the direction of the TPWM/TLOD.

  • Assist the TPWM/TLOD and TSWM/TSODC in the preparation and mailings of the Territorial Commander’s Christmas gift to officers in coordination with the TC’s office.

  • Oversee all departmental Christmas activities.

  • Prepare and assist with Birthday mailings to officers as well as the acknowledgement of the birth of babies.

  • Maintain the storage rooms under the supervision of the department.

  • Maintain the office supply cabinet, reordering supplies as needed and directed.

  • Maintain up-to-date listing of international leaders.

  • Maintain lists of emerging leaders and potential participants for higher level development opportunities following Annual Command Reviews.

  • Maintain succession plans for the territory as directed by the TPWM/TLOD.

  • Process materials and communication regarding attendance at the International College of Officers (ICO), Arrow and other developmental opportunities for officers in the territory.

  • Support and assist as needed with all activities, events and program initiatives for Women’s Ministries as directed by the TPWM/TLOD.

  • Assist the TPWM/TLOD with TEC, Commissioning and Old Orchard Beach activities as directed.

  • Maintain a beneficial and cooperative working relationship with the Territorial Secretary for Women’s Ministries and the Women’s Ministries Program Specialist ensuring a seamless approach to ministry to women in the territory.

  • Maintain a beneficial and cooperative working relationship with the Executive Assistant to the TC ensuring a good flow of information, scheduling and coordination between the office of the TC and TPWM/TLOD.

  • Observe strict confidentiality in all personal or private matters concerning officers and employees, except where duty requires communication with a superior and refrain from premature or unauthorized release of restricted information.

  • Maintain a working knowledge of Salvation Army orders and regulations and official policy directives or minutes relating to the area of Salvation Army work over which responsibility has been given.

  • Other duties and tasks as assigned by the TPWM/TLOD.

Qualifications

Associate's degree or equivalent from two-year college or technical school; 3-5 years of related experience;

  • Working knowledge of faith-based language is important, Salvation Army experience helpful.

  • Must be proficient in proof-reading and editing.

  • Proficiency with Word, Excel and other Microsoft software.
