Job Description:

The Senior Executive Assistant will provide senior-level administrative and operational support across ABA’s Office of Member Engagement (OME). This role will support the Chief Member Engagement Officer and four SVP/EVP’s who oversee OME’s four lines of business.

Key Duties:

  • Support CMEO, EVPs, and SVP DEI with managing and prioritizing their daily workloads, particularly in addressing emerging issues. This involves assisting in determining priorities on time-sensitive matters. Additionally, track and help with information gathering on significant projects, communicating status and progress to various principals in a timely manner.

  • Leverage data to develop an Executive Dashboard that identifies and analyzes results based on key performance metrics including the “future state”.

  • Draft clear communications, such as emails and memos, on behalf of the OME leadership team, tailoring messages to both internal and external stakeholders, including bank members and business clients.

  • Develop and maintain an OME Meetings Calendar including key internal and external meetings (i.e. Advisory Board/Council/Committee meetings) along with a mechanism to share this calendar across OME/ABA.

  • Coordinate cross-functional opportunities for key Councils and Committees. Support logistics, planning, coordination, and post-meeting activities. to ensure consistency. Identify cross-functional collaboration opportunities, effective logistics, task management, and relevant follow-up post-meeting.

  • Manage the enterprise appointment process for nominated committees and councils. Ensure cross-department collaboration, engagement, and diversity integration.

  • Coordinate division-wide projects/initiatives through maintaining effective project management and follow-up.

  • Serve as the primary liaison between OME and other areas of ABA, including the Executive Office.

  • Execute special projects and perform other multifaceted responsibilities as assigned.

  • Perform a variety of complex and routine administrative duties with minimal or no supervision. These include, but are not limited to:

  • Scheduling internal and external meetings and preparing and coordinating materials for each meeting.

  • Coordinating detailed travel plans, which include managing itinerary arrangements and logistical details.

  • Organizing and participating in team meetings; coordinating and communicating logistics for staff; drafting agendas for CMEO’s review; distributing agendas and supporting materials to attendees in a timely manner; preparing and tracking key takeaways and action items from each meeting, including Executive Leadership, Senior Leadership, all-OME meetings.

  • Planning and coordinating OME team building events during the December/holiday season and Summer/end of fiscal year.

  • Processing contracts, POs, invoices, and expense reports as required.

  • Coordinating, reviewing, and finalizing monthly OME reports to the Executive Office.

  • Expense management, reporting, and assisting with presentations.

  • Other duties assigned by business needs.

Qualifications:

  • Bachelor’s degree required.

  • 7+ years’ experience serving in a senior support capacity to at least 2 executives simultaneously. The ideal candidate has experience supporting senior leaders.

  • Experience in Financial Services, Banking, or Education is strongly preferred.

  • Event Management or Conference experience is strongly preferred.

  • Adept at managing multiple priorities with excellent attention to detail. Exceptional organizational skills required.

  • Ability to handle confidential information with discretion.

  • Experience managing and tracking a large budget.

  • Experience booking and coordinating complex travel.

  • Experience successfully managing multiple competing priorities.

  • Project and Program management experience is strongly preferred.

  • Flexibility, adaptability, and a proactive approach to anticipating the needs of the leadership team are required.

  • Excellent written and verbal communication; experience writing and editing.

  • Strong Research and Troubleshooting skills.

  • Proficient in MS Office (Word, Excel, PowerPoint).

  • Excellent problem-solving skills, with the ability to address challenges independently; excellent judgment.
