Smithsonian Institution Management Support Assistant in Washington, District Of Columbia

Summary The Smithsonian Institution is the world’s largest museum, education, and research complex, with 21 museums and the National Zoo. This position is located in the Office of Academic Appointments and Internships (OAAI). OAAI is a central office committed to supporting the academic and career enhancement of interns, fellows, and research associates throughout the Institution. Responsibilities The Management Support Assistant assists with the processing of stipend payments for interns and fellows for the Office of Academic Appointments and Internships (OAAI). This position works closely with the Administrative Officer and the Management Support Specialist. In this position, you will: Coordinate with program staff and other SI offices to create and update vendor enrollment records. Enter purchase requisition information into SI ERP financial system for academic stipends and stipend payment distributions. Prepare paperwork to transfer funds to cover health insurance on a regular basis, consistent with documented requests for health coverage by appointees. Provide administrative support to program staff, serving as unit timekeeper and preparing travel order/vouchers in Concur travel system. Reconcile central SI reports with organization records, resolving discrepancies by discussion with vendors, SI accounting office, and administrative office. Serve as the purchase card holder for OAAI and exercise use of purchase card authority to obtain goods and services for the office. Qualifications Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-05 level in the Federal Service. For this position, specialized experience is defined as responding to inquiries both orally and in writing, using office automation software (i.e. Microsoft Office 365) to establish and maintain financial files/records in an electronic database, and providing administrative support (i.e. timekeeping, preparing purchase orders, preparing travel vouchers, etc.) in an office setting. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience.
