GENERAL DESCRIPTION:

The Wyoming Department of Transportation (WYDOT) seeks a Driver Services Specialist. This position will provide support to driver license examiners, staff, drivers, and customers regarding maintaining commercial and non-commercial driver records, issuing credentials, ensuring driver compliance, and evaluating information for accuracy in compliance with state laws, federal regulations, and agency policies and procedures. Additionally, the employee must respond to all customer inquiries and provide accurate information regarding all classes of licenses and identification cards, driver license suspension, revocation, and cancellation issues, and must be knowledgeable in all areas of Driver Services.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.

  • Assist all internal and external customers with Driver Services-related issues received via phone calls, chat messages, mail, and email.

  • Perform workflow and calendar entries.

  • Scanning and indexing documents.

  • Collect and balance money for all fees collected throughout the day.

  • Prepare transmittals.

  • Performs all daily tasks accurately with little tolerance for error; using required technology to make any needed entries (including Central Server, ERP, Docman/Falcon, VitalChek, Verisol, Google Suite, E-Learning, etc. Saba Talent Space, ESS, NLETS, E-banking).

  • Various CDL/S2S (state to state) report processing, which includes processing multiple transactions to create correspondence to drivers, deleting duplicate licenses and ID cards, processing driver DOT Cards, and offering assistance to other states regarding Wyoming drivers.

  • The process driving records; maintain disabled parking placard inventory and issue placards; process requests for re-exams, and medical and vision evaluations; compile hearing request files for the Office of Administrative Hearings.

  • Review all renewal through the mail applications and determine eligibility and residency through knowledge of Wyoming State Statutes rules and regulations.

  • Verify and update client records by adding and changing names, demographic information, license class, restrictions, forwarding addresses, next of kin, veteran, military, and immigrants.

  • Issue driver licenses and identification cards and collect fees.

  • Accurately enter citations into the data system; process crash reports to ensure compliance with state insurance requirements; enter insurance requirements in driver records.

  • Any other duties assigned by the supervisor to assist the Driver Services team.

Qualifications

PREFERENCES:

Preference will be given to those with Driver Services experience.

Preference will be given for advanced skill levels using Google Suite, document storage, database, and electronic reporting systems.

Preference will be given to those with a college degree and/or 4+ years of work experience in the customer service field.

KNOWLEDGE:

  • Knowledge of Wyoming State Statutes and Rules and Regulations for specialized areas.

  • Knowledge of Department rules, regulations, policies, and procedures.

  • Knowledge of the types of licenses to be issued.

  • Knowledge of Federal Motor Carrier Safety Regulations.

  • Skills in excellent customer service with the ability to handle situations in a courteous, helpful, and tactful manner.

  • Skills in effective interpersonal, oral, and written communication.

  • Ability to work in a cross-trained team environment where duties are shared and the ability to also work independently.

  • Must have a solid working knowledge of all office equipment; computers, printers, scanning devices, photo station, database system, and card production system.

MINIMUM QUALIFICATIONS:

Education & Experience Substitution:

1-3 years of progressive work experience (typically in Business) with acquired knowledge at the level of a Drivers Services Assistant

PHYSICAL WORKING CONDITIONS:

  • This position takes place in an average work environment.

  • FLSA: Non-exempt

  • Individuals in this classification will be subject to random drug and alcohol testing.

  • Internal candidates would be required to remain in the position for a minimum of one (1) year from their promotion date.

  • Employees would only be eligible for one (1) hiring bonus in a 12-month period.

  • If the employee elects to downgrade through an active recruitment and/or appointment during the twelve (12) month period, they would be required to pay the bonus back.
