IHG Groups & Events Coordinator in Switzerland

Manages all Banquet only requests from the reception of the leads through the negotiation and the conversion.​

Makes any changes to the BEOs and ensures that information is properly communicated.​

Ensures the organization of pre- and post-event meetings with the departments and persons concerned.​

Is in charge of the invoicing process according to the accounting rules in force and ensures that the pieces of information are accurate and sent to the persons involved.​

Performs the update of the income in Delphi according to the last invoice issued by the Finance Department.​

Personally welcomes the organisers.​

Ensures the event’s smooth running, manages any client complaint and brings a solution quickly.​

Contacts clients after the event to ensure maximum satisfaction and encourage re-bookings.​

Listens constantly to the clients, pays attention to their reactions and comments and to the eventual reasons for dissatisfaction. Informs his hierarchy in order to make the necessary changes to restore client satisfaction.​

Reports to his hierarchy any guest complaint and helps to resolve it. ​

Knows perfectly the different types of rooms and rates in effect as well as the hotel configuration and ensures that all procedures for booking, confirmation and cancellation are respected.​

Ensures that all room quota bookings are entered into the system.​

Manages groups at room level from the contract’s signature and file handover to guests’ arrival.​

Manages the rooming lists from the last cut-off to guests’ arrival and ensures good communication with the organizer during the event.​

Knows perfectly our offers in order to provide any information to our guests.​

Follows up on the previous day's "No-Show" and contacts the event organizers if necessary.​

Checks the list of group arrivals for the following day and checks that all codes are correct.​

Controls the arrival list through predefined stages in order to minimize no-shows.​

May train other colleagues.

Ensure that his actions, guided by the hotels’ commercial policies and objectives, aim at optimizing rooms profitability by guaranteeing the highest occupancy rate possible.​

Uses computer system reports to track option dates, send contracts and receive down payments for all group files.​

Ensures a handover with the Sales team, once a new contract is signed, to ensure a proper follow up of the file. And that for all group changes, profit contribution and sales targets are the priority.​

Ensures that the client complies with the cancellation policy in a rigorous and diplomatic manner.​

Verifies the billing accuracy of each processed group. Upon the group’s departure, ensure the accuracy of the group's invoicing. Also checks that the package breakdown is correctly invoiced in OPERA. Informs the Accounting Department when the invoice is ready to be sent.​

Creates the Group Resume for each group and ensures that the description is correctly sent to the respective departments in order to provide the best possible service.​

Checks and updates, if necessary, the information in the file and the "Guest History" provided at the time of booking.​

Handles incoming leads for events/groups happening short-term, and responsible for sending the offer and convert it into confirmed business, with a signed contract and deposit.

May send offers according to instructions given to him by the Director of Groups & Events

Keeps himself informed of market trends, all events taking place inside and outside the hotel (fairs, conventions, meetings, exhibitions, etc.) and ensures that all employees present are duly informed and

in order to adapt the offer and optimize sales.​

Builds and maintains effective relationships with the other departments. ​

Conveys the right values and the good behaviors in his service as well as towards his colleagues and his hierarchy.​

Informs the Management Team of any incident or problem that occurs during work hours, particularly those he is not able to solve or whose importance justifies it, whether it concerns work-related issues or employee-related problems. ​

Applies procedures and policies within the hotel and all new procedures according to the management orders and submits new propositions to the Management in order to improve the department efficiency.​

Applies the internal procedures in terms of health, hygiene and safety.​

Applies and enforces environmental good practices in his department, particularly as part of the Green Globe certification (waste sorting, black & white printing, paperless meeting, etc.) and the internal procedures in terms of health, hygiene and safety.​

May be asked to perform other duties at the request of his hierarchy.

What we need from you

Higher degree in Hospitality Management and/or Business Administration. Minimum 1 year of experience as Events or Group Coordinator within a hotel establishment of the same category (4- or 5- star) and capacity (+200 rooms). Fluent French and English. Excellent computer skills and knowledge of Opera and Delphi.​

Strong organizational skills, reactivity and rigor. Adaptability, flexibility, proactivity and sense of initiative. Strong business- and result-orientation. Excellent oral and written communication skills. Capacity to work in a team.​

Sense of discretion and confidentiality.
