The Administrative Assistant for the Binghamton Fund and Donor Relations provides a full range of general office support for the Binghamton Fund and Donor Relations and Stewardship teams, which are part of the Office of Development within the Division of Advancement. This position reports to the Senior Supervising Director of the Binghamton Fund and Donor Relations.

Duties and Responsibilities:

  • (35%) Provide reception duties for the Binghamton Fund, Donor Relations and grants management such as distributing mail, greeting guests, photocopying, filing and ordering supplies. Answer phones and compose timely correspondence to the Binghamton Fund and Donor Relations email accounts. Maintain calendar; schedule meetings; make and cancel appointments; schedule rooms for meetings, conferences, etc.; arrange for audio visual and training equipment; and prepare catering requests.

  • (20%) Provide support of the inventory of benefactor naming agreements through maintenance of the documentation of physical locations of plaques and recognitions.

  • (10%) Produce final gift agreement materials for signature as needed and manage proper protocols for when signed gift agreements are returned to ensure they are stored properly and added to the necessary tracking mechanisms.

  • (10%) Prepare and record vouchers for all expenditures and reconcile monthly reports from Accounting Services for both the Binghamton Fund and Donor Relations and Stewardship departments.

  • (10%) Provide support for broad-based mailings for the Binghamton Fund as needed.

  • (10%) Provide support for key programs and initiatives during the year, such as the annual Donor Impact Packet (DIP) reporting process each fall, including helping to assemble packets for donor-supported student scholarships, student awards, other student-aid and non-student aid for endowed and current use accounts; the annual TAG (thank-a-giver) Day every spring semester; helping to prepare and send acknowledgement letters and materials during the busiest times of the year (i.e. end of calendar year and end of fiscal year).

  • (5%) Other duties as assigned.

    Job Requirements:

  • Associate's degree

  • Highly organized, self-starter, detail-oriented and able to work independently and provide prompt follow through

  • Work successfully in a collegial setting, effectively interacting with other staff members

  • Excellent interpersonal skills and ability to interact positively with donors, volunteers and other constituencies

  • Work effectively with sensitive and confidential information

  • Proficient in computer skills and relevant software, specifically all applications of

    Microsoft Office

  • Three to five years successful experience in a staff support role

Preferred:

  • Bachelor's degree
