Job Description

Gilead's Legal Operations department is looking for an experienced Legal Operations Analyst to support with activities across the portfolio of Legal Operations functions, programs, and projects. Including but not limited to; E-Billing, Knowledge Management, Learning and Development initiatives, as well as onboarding processes.

Reporting to the Associate Director of Legal Operations, this is an exciting opportunity to join a tight-knit team that develops and delivers best practice solutions and services that support our ever-growing worldwide Legal departments. We strive to increase efficiencies and productivity across a broad range of legal activities, to foster cross-functional collaboration with our Legal colleagues, Gilead business partners, external vendors, and nurture a culture of excellence. This position requires the ability to work across geographies and demonstrate intercultural and emotional competence in a matrixed environment and ensure alignment with various stakeholders.

As our Legal Operations Analyst, you will assist with E-Billing matters, working closely with our Foster City Collogues to ensure smooth running of our E-Billing processes. Knowledge management initiatives, taking ownership and driving projects through to completion. Designing, developing, and delivering training for Legal colleagues and their business partners across a variety of channels. You will help design and execute change management strategies for Legal projects and initiatives to increase stakeholder awareness and engagement, assess and mitigate risk, and improve the overall adoption of new technologies and processes.

You will help us develop and mature programs that support our Legal employees from their very first day at Gilead and beyond. Your strategic insight and tactical, hands-on experience will be instrumental to the work we do every day and what we may imagine in the years to come.

Responsibilities

Knowledge, Experience and Skills:

Management Skills

  • Support operational effectiveness within International Legal and in collaboration with Foster City Legal Operations

  • Support change management and project execution within the international region

  • Support International Legal technology and business projects to ensure solutions are fit for purpose, communicated effectively and that adoption is high within the function

  • Stakeholder management - Maintain credibility and influence at all levels of Legal functional management and with both internal and external stakeholders

  • Identify gaps in processes and proactively develop solutions

  • Support the ownership of International specific technology requests with Foster City, track technology requests status and represent specific International Legal requirements.

  • Support continuous process improvement efforts and manage international adoption of corporate standards such as Document Management, Matter Management, e-Billing, Contract Management, and IP Management, Knowledge Management, Infrastructure and Training solutions.

  • Work closely with and build relationships with the International Legal Leadership Team

  • Understand the role of Country Counsel/Business Conduct Advisor at affiliate level in order to provide appropriately focused support

Functional Skills

  • A key understanding of Legal organizations, functions, administrative needs, and technology requirements

  • Demonstrated ability to support critical Legal processes to support Gilead’s legal function

  • Ability to understand business cases, support process definition and re-engineering, high and detailed-level requirements gathering, vendor selection, fit/gap analysis, functional design, testing, training, reporting, support, and continuous improvement of business applications

  • Participate in recommending ways to improve business processes through system development and controls

  • Ability to work with Executive Management to translate business requirements into functional deliverables

  • Must have strong client service orientation and demonstrated high level of customer focus, independence and initiative

  • Must be a team player who can easily handle shifting priorities, multi-tasking in a deadline-oriented environment

Preferred Qualifications

  • Demonstrated record of delivering impactful programs and projects with multiple stakeholders, deliverables, timelines, and priorities

  • Excellent communicator and presenter, whether in writing, over Zoom, or in person

  • Must have excellent analytical skills and comfort with multiple data sets, with the ability to draw conclusions and make informed recommendations

  • Advanced Excel skills (i.e., formulas, pivot charts, pivot tables, formatting, etc.)

  • Proven ability to build collaborative relationships across all levels of the organization

  • Experienced in Microsoft Products (Outlook, Excel, Word, PowerPoint)

  • Experience with working in a Legal Organization

  • Experience working at a law firm or in a corporate Legal department

  • Experience with legal technologies, including document management systems (iManage), contract management systems (Apttus/Conga), e-Billing/finance systems (TeamConnect/Collaborati), etc.

  • Ability to present complex information in an accurate and persuasive manner to all levels of management
