Guthrie Radiology Support Specialist - Radiology-Diagnostic - Part Time in Towanda, Pennsylvania

Position Summary:

Based in Radiology, clerks and assists in the Radiology Department. Performs Executive Assistant duties of a confidential nature and carries out delegated administrative functions on behalf of the CNO. Assists Department Managers and staff as needed.

Education, License & Cert:

Minimum of two years’ experience as an Executive Secretary/Administrative Assistant or equivalent experience. Word processing knowledge and experience desired. Proficient in using computer, especially all aspects of Office 365: Microsoft Word, Excel, PowerPoint, and Access. Computer skills essential including word processing, database, spreadsheets, Meditech system, EPIC, and McKesson. Possesses the acumen required to prepare reports, records accurate minutes at meetings, and composes letters, using proper rules of grammar, spelling, and punctuation. Ability to work well under pressure, exercise independent judgment, maintains composure, and a pleasant attitude.

Essential Functions:

Identifies patient by asking patient to state name and date of birth prior to any treatment. Registers patients when registration clerk is not available. Providers excellent customer service by communicating effectively and tactfully to patients, fellow employees, families, physicians, and other hospital personnel. Ensures that patients have order for initial treatment signed by referring physician Ensures office supplies are inventoried, ordered, delivered, and stocked. Will investigate complaints from patients about scheduling concerns and take appropriate action under the direction of the Radiology Manager. Demonstrates initiative in completing tasks, developing and fully implementing methods to create more efficiency. Demonstrates computer skills for maintenance requests, ordering stocked supplies, order entry, etc. Performs performance improvement duties as assigned Schedules, charges, and puts orders into PIS program. Works the following 5 work Qs to edit registration errors generating revenue: 14384, 13385, 13396, 13390, 14692 Greets patients as they enter and keeps them informed of reasons for any wait times. Performs work assignments based on an understanding of the limits of established practice within the position. Compliance with the rules and regulations of all federal, state, and local governments. *Maintains files of general correspondence. *Is responsible for scheduling, coordinating events and meetings for Administration and all departments at the Towanda location. Prepares and distributes materials prior to meetings. Includes meeting notices, agendas, previous meeting minutes and attachments. Assists in coordinating social functions for Administration and all departments as requested Acts as liaison of the Administrative office / Medical Staff office, and the public. Acts as liaison between employee, management, and medical staff. *Assists in preparing documents and reports for JCAHO and the Department of Health surveys. Sorts, screens, reviews, and distributes incoming and outgoing mail; composes, prepares, or ensures timely responses to a variety of written inquires. *Maintains an accurate system of files for reports, correspondence, and articles. Assists in development of policy, procedures, and protocols as directed. Performs secretarial duties for all Towanda departments as requested. Assists with calendar management for CNO. May include scheduling meetings and appointments using independent judgment. Makes all necessary arrangements (reserve rooms, orders food, confirms attendance, etc.). Responsible for Physician Lounge floor stock inventory and reorder. Distribution of Hospitalist schedule ‐ ED physician schedule. Maintains accurate records and files as requested. Makes disc of images for requesting facilities/patients. Maintains a positive public image among The Guthrie Clinic network, Boards of Directors, the community, and trustees. Assist Department Managers, Guthrie departments such as Human Resources, Resource Development, Finance, and Strategic Planning and Marketing as necessary. Works collaboratively as a member of the administrative team. Completes and/or coordinates various projects as assigned. Performs other duties or services as assigned by the President, CNO or hospital departments Sends out reminder letters monthly to mammogram patients. Sends out missed appointment letters on an ongoing basis. Sends out yearly reminder letters for mammograms. Checks charges daily. Calls back mammography patients for further imaging if needed. Gathers information needed for subpoenas and sends it to requesting party.
