Robert Half Real Estate Services Assistant in Toms River, New Jersey

Description We are offering a unique employment opportunity for an Office Manager in the real estate industry. The role is based in Toms River, New Jersey, and includes both remote and onsite work options. As an Office Manager, you will be responsible for a variety of administrative, property management, and customer service tasks.

Responsibilities:

• Manage and process payroll for onsite employees and approve invoices based on budgeted expenses and historical monthly billing.

• Handle tenant work orders and process monthly bills for tenants.

• Manage monthly utility meter readings and billings.

• Create and manage contracts and purchase orders for vendors.

• Set up new vendors in our systems and monitor/update/file insurance certificates for all vendors and tenants.

• Update tenant contact list, add critical dates, and add new tenants to the systems we use.

• Manage onsite events for conference room usage.

• Utilize resources on the intranet to learn processes and procedures.

• Answer inquiries from tenants and provide excellent customer service.

• Use Microsoft Office Suite and Yardi or similar platforms for administrative tasks. Requirements • Proven experience in an administrative role.

• Proficient in Microsoft Office Suites and Canva.

• Familiarity with office procedures and basic accounting principles.

• Experience with billing functions, including invoice and monthly billing.

• Knowledge of real estate, property management, and tenant issues.

• Understanding of payroll, contracts, and insurance matters.

• Ability to communicate effectively and answer inquiries professionally.

• Experience with vendor management and expense reporting.

• Skilled in using property management software such as Yardi and MRI.

• Experience with P2P and EO/IR systems.

• Ability to work onsite and manage work orders efficiently.

• Strong customer service skills.

• Knowledge of intranet systems.

• Ability to multitask and prioritize work.
