Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). Three (3) years of full-time procurement experience. Proficiency in Microsoft Office Suite, to include Microsoft Excel, PowerPoint, and Word.Preferred Qualifications:
Additional years (4+) of full-time procurement experience. Experience working with an ERP. Experience working with E-Procurement systems, such as Jagger or similar applications. Helpdesk or customer support experience. Experience creating or conducting user training.Brief Description of Duties:
Reporting to the Assistant Director for Procurement Systems and Operations, the
WolfMart Support Manager supervises the Helpdesk Team for Procurement. The incumbent serves in a leadership role supervising two (2) staff members providing day-to-day support to approximately 2,500 active users of the WolfMart (Jaggaer) eProcurement System. Managing key activities to support the source-to-pay operations for Stony Brook University (SBU) and serving as a Subject Matter Expert (SME) and System Administrator for the SBU's procurement system is a large part of this role. The manager is expected to develop and implement user training. This position will interface with the internal procurement, IT, security administrators as well as SUNY Systems Administration counterparts. As the lead for this unit, the incumbent will develop and implement system and business process enhancements to continuously improve the source-to-pay process at SBU. In this role, effective communication and interpersonal skills are essential as the WolfMart Support Manager will interact across the full spectrum of different perspectives and personalities.

  • Serve on Systems and Operations Leadership Team:
    • Serve on the Systems and Operations Leadership Team working collaboratively with the Assistant and Helpdesk Lead to resolve issues impacting the department, advance projects benefiting WolfMart, and establishing goals and priorities for the Sys Ops Team. This includes weekly team lead meetings and periodic project team meetings. Support the advancement of all projects approved by the AVP for Procurement.
  • WolfMart Helpdesk Supervision and WolfMart Optimization:
    • Serve as the liaison and SBU SME for WolfMart daily.
    • Manage all Jaggaer (Wolfmart) System administration functions and oversee the set-up of user profiles/permissions/roles and problem resolution.
    • Provide regular WolfMart Helpdesk desk support.
    • Manage Complex procurement system errors and respond to department and vendor inquiries where other staff are unable to assist.
    • Participate in SUNY wide procurement systems meetings as SME and develop system and process improvements.
    • Manage user communications and message board in WolfMart to ensure stakeholders are updated on the latest updates and enhancements.
    • Review regular updates to Jaggaer and develop communication plans for suppliers and stakeholders.
    • Participate in SUNY and WolfMart (Jaggaer) system testing to ensure enhancements are successfully vetted and implemented.
    • Keep updated with and ensure that all RF, SUNY, State and Federal guidelines are followed in carrying out system and business operations.
    • Oversee and process Research and State Change orders to include decrease/Increase in funds or disencumbering balance of accounts.
    • Oversee and process additions, deletions, mergers, and updates on Supplier and Location files in Research Foundation (RF) Oracle system.
    • Track and analyze system errors and recommend improvements.
    • Partner with key leaders in Sourcing, Contracting, Buying, Receiving and Payables to discuss pain points, brainstorm improvements and develop business cases for enhancements.
    • Actively communicate with end-users, Grants Management, RF Central office personnel, Budget office, Office State Comptroller Vendor Management Unit (VMU), purchasing agents, IT.
  • System Training:
    • Assess current training efforts and as needed implement new training opportunities for WolfMart Users.
    • Supervise and as necessary conduct virtual beginners and advanced training in Jaggaer (WolfMart) system for the Campus community monthly.
    • Develop effective training materials, including video training.
    • Manage the Procurement Help Center, including the training library and the HelpDesk Ticketing System.
    • Partner with Sourcing, Travel and Central Services to ensure consistent messaging across all training resources and share best practices.
    • Update training materials periodically to reflect the latest enhancements from Jagger releases.
    • Recruit and supervise students to support the Systems Operations Team.
    • Train staff on systems business operations duties, including the State Financial System (SFS) system, SUNY Financial Management System (FMS) and RF oracle systems as and when required.
  • Reporting and Analysis:
    • Support the collection of data for monthly Procurement Dashboards and Metrics.
    • Identify recurring requests for data and develop reports on a proactive basis to ensure consistency and ease of reporting each year.
    • Perform data mining utilizing the data warehouse.
    • Collect, organize, analyze, and disseminate significant amounts of information with a high level of attention to detail and accuracy.
    • Use analytics to make astute business recommendations and source-to-pay process improvements.
    • Perform regular analysis of source-to-pay processes across SBU and other SUNYs.
    • Participate in the Fiscal Year end lapsing funds process, ensuring that all reconciliations and certifications are completed by the deadline.
  • IDL Distribution:
    • Print IDLs and distribute to department personnel via email.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.

Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA.
