Jamestown Sklallam Tribe Accounts Payable Administrator in Sequim, Washington

Jamestown S’Klallam Tribe is seeking a qualified and detail-oriented Accounts Payable Administrator to join our growing team!

The Accounts Payable Administrator plays a vital role in ensuring the smooth financial operation of Jamestown S’Klallam Tribe. You will be responsible for all aspects of the accounts payable function, from managing purchase requisitions to processing payments and maintaining accurate records.

Responsibilities

  • Administer the electronic purchase requisition system for various Tribal operations, including grants/contracts, general government, medical/dental clinics, etc.

  • Train staff on the system, assist with technical needs, and post invoices to the accounting system.

  • Reconcile staff input with supporting documentation.

  • Manage Personal Service/Independent contracts for the Tribal organization.

  • Supervise contract monitoring and compliance, ensuring adherence to time, hourly rate, duration, and proper invoice approval.

  • Resolve contract payment disputes, communicate policies to program coordinators, and maintain accurate contract files.

  • Assist staff and Directors with internal/external correspondence, reports, and accounting records.

  • Possess a comprehensive understanding of the accounting department to act as a backup for other staff and participate in departmental projects.

  • Manage all aspects of Tribal staff travel documents, including processing travel advance requests, reconciling vouchers, and monitoring expenses.

  • Ensure compliance with Tribal Government Travel Account guidelines.

  • Complete weekly check runs based on invoice due dates and reconcile vendor statements monthly.

  • Manage vendor and contractor communications, including account disputes, negotiations, and problem resolution.

  • Conduct annual 1099 reporting for contractors, consultants, committee members, childcare providers, etc.

  • Monitor utility, phone, and cell phone accounts.

  • Obtain attendance records for Tribal Committee meetings and issue annual/per-meeting stipends.

  • Prepare annual Elder gift checks.

  • Assist the Accounting Assistant with accounts payable processing.

  • Adhere to all Tribal policies and procedures, including safety standards.

  • Perform additional duties as assigned.

Qualifications

  • Minimum of 2-3 years of experience in accounts payable or a related field.

  • Experience with electronic purchasing systems and accounting software.

  • Strong understanding of accounts payable principles and procedures.

  • Excellent analytical and problem-solving skills.

  • Proficient in MS Office Suite (Word, Excel, Outlook).

  • Exceptional communication and interpersonal skills.

  • Ability to work independently, manage multiple priorities, and meet deadlines.

  • Meticulous attention to detail and accuracy.

  • Familiarity with Tribal government operations a plus.
