Job Description

The Sr. Manager, Planning and Projects provides leadership and guidance to the Occupancy and Project Management teams in developing plans and programs that inform workplace environmental and occupancy strategies. The outcome includes optimizing Nordstrom real estate by creating environments that foster innovation, productivity and promotes business performance in a practical and cost-effective manner. This role also leads all Facilities’ project management practices and reporting to deliver planning, capital and expense improvements.

KEY RESPONSIBILITIES

WORKPLACE STRATEGY AND DESIGN

  • Convert business strategies into workplace designs and plans that promote corporate goals and objectives through comprehensive research.

  • Collaborate and guide business unit partners on strategies affecting the built environment including lease decisions, business case development and occupancy design.

  • Lead and develop a team of planners in strategic occupancy and tactical space planning, real estate optimization, and workplace design.

  • Develop and maintain a full slate of performance metrics including financial, CPIs, KPIs, SLAs and CSAT to rationalize program performance and future development.

  • Deliver regular and accurate occupancy forecasts related to known projects, new builds, and real estate plans as a result of business or lease changes.

  • Ensure internal governance policies and procedures are developed and adhered to in all work teams.

  • Communicate strategies, policies, KPIs, and results with senior leadership.

  • Develop and implement strategies around the acquisition and deployment of IWMS, CAD/ CAFM programs to include space data integrity and reporting that informs business decisions.

OCCUPANCY & SPACE PLANNING

  • Develop workplace planning program means, methods, procedures and reporting to promote collaboration and productivity in alignment with business objectives.

  • Manage third party suppier in the development and execution of occupancy program.

  • Measure and optimize space utilization, efficiency, effectiveness, and experience across the portfolio and continuously propose changes and improvements.

  • Ensure spatial data accuracy and floorplan updates are submitted and reviewed by occupancy planners and data is available real-time including performance metrics.

  • Deliver space allocation reports as needed.

  • Analyze space utilization data for tracking, reporting, and forecasting.

  • Develop occupancy scenario plans and engage with business leaders to develop innovative solutions to space requests.

  • Negotiate space among user groups to maximize real estate use while enhancing adjacencies for improved collaboration and workflow.

  • Establish templates and processes to standardize space requests.

MOVE PLANNING (MAC)

  • Ensure Move, Add, Change (MAC) activities efficiently facilitate business changes related to the built environment.

  • Manage third party suppliers in Facilities, Technology, HR, Security, etc. to ensure timely and accurate program adherence including Purchase Orders and invoices are processed accurately and timely.

  • Develop processes, performance data and metrics to rationalize and optimize churn including regular reporting that demonstrates innovation and efficiency.

  • Support relationships between MAC team and occupancy planners to ensure plans are accurate before move execution.

  • Interact regularly with business leaders to ensure that MAC goals and objectives are achieved, including post-occupancy surveys.

  • Track and report on project portfolio performance, providing a real-time, comprehensive, and prioritized view of all projects.

  • Work with Workplace and Occupancy Planning to ensure process feedback drives continuous improvement in practices and processes.

PROJECT MANAGEMENT

  • Accountable for all phases of project management, including budgeting, planning, procurement/contracting, initiation, execution, monitoring, controlling, and closeout.

  • Responsible for all Facilities projects including capital asset replacements, asset improvements, tenant improvements, MAC transactions, and other projects related to the built environment across all business units.

  • Ensure Facilities projects are managed through proper intake methods including business case development, approvals, assignment, tracking, communication and reporting with stakeholders.

  • Manage Project intake, prioritization and scheduling processes for all Facilities projects (both capital and expense) as determine by the Facilities Leadership Team (FLT).

  • Partner with Occupancy Management on design input including plan review and test fits to ensure field considerations result in realistic delivery against project scope.

  • Lead project management with business partners from Strategic Sourcing, Finance and Facilities in the selection of consultants, architects, engineers, contractors and service providers.

  • Ensure projects are planned and delivered according to design specifications, standards and guidelines (i.e., room numbers, conference room naming, wayfinding, signage, etc.).

  • Establish performance indicators including CPIs, KPIs and SLAs to hold consistent and high standards in areas such as scope, budget/ variance, schedule, quality, and risk management.

  • Ensure project management staff follows policies, procedures and company norms in project delivery.

  • Advise project sponsors, business unit managers, and teams members to the best use of project management disciplines and approaches.

LEADERSHIP AND OTHER COMPETENCIES

  • Strong collaborative leader who engages to align stakeholders, partners, suppliers and business unit members for the purpose of advancing the Planning and Project team’s mission.

  • Establishes a high degree of ownership of business practices to ensure full accountability of work produced and decisions make in this team.

  • Has demonstrated ability and courage to take the less popular path when better outcomes are understood and influence business partners abroad.

  • Can withstand business pushback, operate with ambiguity and drive programs despite 100% alignment.

  • Actively participates in related business and civic organizations to ensure connectivity to related professionals, trade associates and suppliers to remain current on events, trends, issues and innovations.

  • Sound knowledge in general building systems, operations and maintenance such as Mechanical, Electrical, Plumbing (MEP) systems, interior finishes, carpentry, plumbing and furniture, fixtures and equipment.

  • Demonstrates ability to identify complex project risks, lead constructability reviews, develop risk mitigation and contingency plans, and implement action plans to reduce or eliminate project risks for business units.

  • Share lessons learned and best practices across programs.

QUALIFICATIONS

REQUIRED

  • Bachelor’s degree in Project Management, Planning, Construction, Interior Design, Architecture, Engineering, business or equivalent in a related field.

  • 8+ years of progressive professional experience in the management of workplace strategies, occupancy/ space planning/ utilization, MAC and project management in commercial office environments.

  • Minimum 8 years of experience as a people leader with strong organizational development and resource management skills

  • Professional connections within industry including affiliate memberships and programs.

  • In-depth technical knowledge in Occupancy Management/ Planning, space planning, construction and project management.

  • Demonstrated strong analytical skills to glean insights from large amounts of raw data.

  • Strong business and financial acumen, contract experience and problem-solving skills.

  • Demonstrated command of the English language, both written and verbal.

  • Ability to meet tight deadlines and work efficiently and collaboratively as part of a team to solve problems with professionalism and service focused approach.

  • Ability to regularly communicate analyzed data to achieve goals.

  • Competency in core office systems such as: Outlook, MS Office, Teams, MS Project, Visio, IWMS tools i.e. iOffice, and dashboard reporting tools using Power BI or Tableau.

PREFERRED

  • Master’s degree in related field

  • Work experience 10+ years direct Project Management experience delivering multiple projects in a commercial and corporate office environment

  • In-depth technical knowledge in construction, project planning, Quality Control, safety, Design principles, etc.

  • Deep technical knowledge of IWMS systems, particularly iOffice

  • Experienced in performance-based service contracts and vendor management

  • Adaptable to work to requests and projects that may vary from day to day

Pay Range Details

The pay range(s) below are provided in compliance with state specific laws. Pay ranges may be different in other locations.

Washington: $126,500- $210,000 annually

This position may be eligible for performance-based incentives/bonuses. Benefits include 401k, medical/vision/dental/life/disability insurance options, PTO accruals, Holidays, and more.
