JOB TITLE: College Facilitator (Purchasing) JOB CODE: 45232 FLSA: Non-Exempt Minimum Hourly Rate $27.49 GRADE: S13 JOB SUMMARY: Responsible for serving as the college facilities leasing liaison and purchasing facilitator and liaison with District Purchasing Department. Coordinates scheduling of on-campus College and District functions and resolves customer inquiries. ESSENTIAL JOB FUNCTIONS: Coordinates with one or more College Services (i.e. purchasing, facilities, accounts payable, accounts receivable, DPS and Legal) to complete the leasing process of campus facilities that are pre-approved outside agencies. Schedules and coordinates special events; completes rental agreements and contracts; facilitates preparation, housekeeping, maintenance, equipment, staffing, and security arrangements. Collects leasing fees; and submits payments to A/P. Serves as the college purchasing facilitator and liaison with the district Purchasing Department for centralized college purchases including formal bid requests, identifies requirements, develops bid proposals and specifications, and ensures compliance with district purchasing policy and procedures. Initiates, monitors, and manages Annual Maintenance contracts. Orders new furnishings: coordinates delivery and new occupancy move. Coordinates scheduling of on-campus College and District functions. Reviews, implements, and monitors Room Reservation Software. Trains campus staff in the use of software. Regularly reviews software for updates and changes. Utilizes software to process room reservation requests for campus personnel and off campus personnel. Resolves customer inquiries concerning status, policies, procedures, process and automated systems for assigned functions. Processes collections from campus GO Print Vending Print System, routinely collects cash, runs audit report and submits cash to Business Office. Coordinates with other college and district offices such as construction management on purchases and furniture set-up, information technology, public safety, risk management, accounts payable, accounts receivable, etc., to perform daily tasks. May perform duties relating to one or more college services functions to include the facilities rentals, inventory control, asset management, facilities management, and information technology duties. Works closely with District Inventory Control to manage inventory at campus level. Routinely performs physical check of inventory items. Prepares off-campus equipment loan requests, reconciles end of year inventory report. Performs other duties as assigned. MINIMUM EDUCATION AND EXPERIENCE: Associates degree or a combination of relevant experience, education and training that equates to the required degree. Three years of experience related to assigned functions. PREFERRED EDUCATION AND EXPERIENCE: Bachelors degree. LICENSES AND CERTIFICATIONS: Must possess and maintain a valid Texas driver license. Must be insurable through the organizations insurers. KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of budgeting, general accounting and purchasing principles. Skill in using a personal computer and associated software programs. Ability to communicate clearly and effectively, both verbally and in writing. Ability to interpret and implement Alamo Colleges Districts objectives, policies and procedures. Ability to solve complex problems with attention detail and the ability to multi-task. Ability to meet deadlines. Ability to establish and maintain effective working relationships. Excellent customers service skills. SUPERVISION EXERCISED: None PHYSICAL REQUIREMENTS: Working conditions involve some exposure to moderate risk of accident and require following basic safety precautions.
