Job Summary

Provides complex administrative support for department management. Coordinates and oversees the work of support staff. This position has no responsibility for providing care to patients.

Responsibilities

Essential Functions

  • Provides administrative support for department facilities, including room/building scheduling, facilities management, and census-taking.

  • Provides management support for centralized travel needs and scheduling.

  • Assists department with purchasing, invoicing, inventory and surplus office supplies and services.

  • Provides administrative support for department meetings.

  • Maintains budget records, such as reconciling accounts and preparing expenditure statements.

  • Collects, organizes and analyzes data for specialized reports.

  • Coordinates the collection and preparation of operating reports.

  • Assists with the implementation of department and University policies and procedures.

  • Provides administrative support to upper level department management by scheduling appointments, coordinating meetings and conferences.

  • Other job duties as required.

Problem Solving

This position is responsible for solving office problems such as accounts payable issues, solving staff, faculty and student problems or directing them to someone whom can and supervisory and personnel issues. Plans and expedites the flow of work while ensuring the smooth operation of the office under the pressure of frequent interruptions and changes in priorities.

Minimum Qualifications

  • Associate degree in business or equivalency (one year of education can be substituted for two years of related work experience) and three years full-time secretarial experience required.

  • Demonstrated human relations and effective written and verbal communication skills required.

  • Knowledge of basic bookkeeping practices and direct supervisory experience preferred.
