Job Summary

The Regional Office Administrator supports both the estimating and operations departments by organizing and assisting with administrative functions to optimize efficiency and accuracy

Estimators, Project Managers, Project Engineers, Receptionist, Estimating Administrator, Estimating Coordinator, Marketing Coordinator, Business Development Manager

Typical Duties

  • Understand the duties of the operations manager and area manager and assist with administrative duties as requested

  • Order bid bonds and prepare bid proposals

  • Maintain office and electronic files as requested

  • Ensure the original plans and specs and recorded and properly filed in the job files

  • Update the bid and takeoff schedule in the database and prepare printouts as needed

  • Organize the administrative functions of the estimating department to optimize efficiency

  • For all successful bids scan the bid file into the database

  • Maintain an adequate supply of office supplies

  • Assist project managers and engineers as required with the maintenance of updated project files, correspondence, plans, specifications, and agenda as well as assisting with other administrative duties

  • Order plans and specs as directed by the Vice President of Estimating

  • Review bid documents and enter the required information into the database

  • Request bid and specification refunds as appropriate

  • Coordinate with staff for bid delivery

  • Assist in the company’s marketing efforts

  • Provide business meeting coordination including invitations, agendas, reservations, information packets, and meeting minutes as needed

  • Perform all required advertisements to subcontractors as required in a timely manner to ensure bid requirements are met

  • Facilitate workflow and assist clients, business partners, and employees on a routine basis

  • Develop professional relationships with surety agent, insurance agency, and customers

Education and Experience: High School diploma and GED preferred plus three years related previous construction administration experience

Language Skills: must be able to read and write in English, performs technical writing

Mathematical Skills: understanding of basic business math

Reasoning Ability: apply common sense understanding to carry out multiple step instructions with standardized situations with occasional variables

Computer Skills: ten-key by touch; must type at least 50 wpm, must be fluent in Microsoft office suite. Individuals in the position will also need to be able to learn new technologies as they evolve or are implemented

Interpersonal Skills: the ability to interface and collaborate with a wide variety of people including clients, employees, managers, and agencies

Compensation:

$62,000 - $70,000, annually based on skills experience and knowledge
