With operations going back to 1861, we boast a remarkably long history of success in the Minnesota aggregate and asphalt industry.Position OverviewThe Contract Administrator position is responsible for the following functions, but not limited to, tracking, compiling, analyzing data required for effective administration of our construction contracts. This position supports Estimators, Project Managers, and Accounting Staff.Key Responsibilities (Essential Duties and Functions)Review contract documents and assist in setup jobs in accounting software ensuring compliance with established SOX controls.Compile job packages for distribution to Project Managers and Superintendents. Scan setup documents to the shared drive.Prepare annual and job specific subcontracts. Track subcontractor documents to ensure all requirements are met.Tracking subcontractor COI's for expirations and updating vendor files to ensure compliance.Approve subcontractor paymentsPrepare bid bonds, request for performance and payment bonds. Maintain bond company files.Assist Construction with creating purchase orders for construction projects.Issue certificates of insurance to project owners.Maintain project files, electronic and paper.Prepare job handoff information to project managers.Maintenance of state EBO system.Assisting with tracking and updating backlog for Construction, AC, and Aggregates.Review certified payroll reports with prevailing wage requirements.Quarterly aggregate tax reportingAll other duties as assigned.QualificationsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.Education/ExperienceHigh School diploma or equivalent.Previous construction or contract background preferred.Work RequirementsMust be 18 years in age or older.Must pass drug screen and criminal background check.Strict adherence to safety requirements and procedures as outlined in the Employee Handbook.Willingness to work in a team environment and assist co-workers or supervisors with other duties as required.Must display a professional and courteous attitude to co-workers, supervisors, and the general public at all times.Must maintain current driver's license that meets state requirements.Must be willing to travel and work away from home when required.Individuals are required to wear personal protective equipment (PPE) in designated operations and production areas as stated by OSHA and/or MSHA. Protective equipment that may be required, but not limited to, for this position is: Hard Hat, Safety (hard toe) Shoes, and Safety Glasses.Compliance with all OSHA and/or MSHA regulations.Knowledge/Skill RequirementsExpertise with Microsoft Office Suite, particularly Excel and Word.Developed analytical and problem-solving abilities.Excellent written and verbal skills, strong interpersonal skills and ability to diplomatically handle challenging situations.Self-motivation and ability to work with minimal supervision.Must be able to work in a high stress environment in a team orientated atmosphere.Priority emphasis and strong time management skills.Physical RequirementsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.Able to stand, walk, use hands and fingers to manipulate objects, talk and hear.Vision abilities (with correction) include close, distance, peripheral, depth, and the ability to adjust focus.The employee is frequently required to sit, and use hands.Work EnvironmentStandard office environmentTempo is fast-paced with strict deadlines.The noise level in some areas of the work environment may be moderate.The statements included in t is job description are not intended to be all-inclusive.
