Job Responsibilities:

Reporting to and under the general guidance from the Shipping & Receiving Supervisor provide administrative support for the Shipping & Receiving department. Assist in administering and developing strategy/policy for an exceptional customer experience, including reporting of data compiled from multiple sources; problem resolution; maintaining databases; responding timely to inquiries, concerns, change requests; monitoring and triaging incoming requests from customers directly and through the CMMS (work order system); completing special projects by organizing and coordinating information and requirements; planning, arranging, and meeting schedules; monitoring results.

Responsibilities

  • Manage the shipment and receipt of all products, materials, and supplies for the University. This includes unloading incoming deliveries; verifying packing slips against purchase orders; checking items in order to detect lost and damaged goods; sorting items for delivery; electronically maintaining accurate records of incoming and outgoing shipments; and entering receiving records data into Oracle.

  • Respond to work orders (shipping & furniture moves) through CMMS and phone/email communications in support of RIT’s daily operations. Assist in troubleshooting shipping & receiving issues and customer complaints that arise and work to resolve them.

  • Assist in managing the logistics of furniture moves and disposal with university departments and RIT’s moving services vendor.

  • Assist in managing the fleet vendor contract. This includes ensuring that NYS registration and insurance is up to date; provide estimates for Risk Management for vehicle accident repairs; coordinate and schedule repairs with auto body shop.

  • Assist is scheduling in bound freight appointments with carriers.

  • Assist in maintaining and organizing the warehouse and boneyard.

  • Provide backup for the Sr. Shipping & Receiving Assistant, Package Delivery Driver, and the Manager, Shipping & Receiving.

  • Other duties as assigned.

Required Qualifications:

Education and Experience

  • High school diploma or GED

  • 2 years administrative, customer service experience, project management, project coordination, or related field.

Licenses

  • The individual hired for this position will be required to have a pre-employment Motor Vehicle Record (MVR) check.   • Strong customer service skills with ability to establish professional and welcoming reception of in person, phone and email/electronic contacts.

  • Ability to establish, build and maintain effective working relationships based on respect, empathy and honesty with diverse groups and individuals.

  • Computer competence using Microsoft Office (Microsoft Word, Outlook, Excel, and Windows) and enterprise systems utilized by RIT and FMS; strong working knowledge of and experience in utilizing databases and spreadsheets.

  • Ability to take initiative, plan, prioritize, and execute a variety of projects that must be completed simultaneously and on time; to adjust to changing priorities and challenges in a busy environment; to work independently with minimal direction; to follow complex oral and written instructions; to make complex decisions in accordance with departmental policies and procedures.

  • Knowledgeable and skilled in material handling equipment such as forklifts and power pallet jacks.
