EPI Self Direction Administrative Assistant in Rochester, New York

Empowering People's Independence (EPI), provides support for people with developmental disabilities, epilepsy, and brain injury through progressive, tailored care to improve their health, wellbeing, independence, and social inclusion.

Job Purpose:

Provide administrative support to ensure efficient operations of the admin and Self-Direction (SD) department. Support employees through a variety of tasks related to organization and communication. Disseminate highly confidential and sensitive information and interact with all levels of employees within the organization as well as all visitors, vendors, and contract personnel.

Essential Functions:

• Upkeep of SD department general email/mailbox, while maintaining HIPPA compliance.

• Processing of mail, emails and directing phone calls.

• Perform all product and supply ordering for the SD department and maintain records that support purchases.

• Update and maintain all SD records, manuals, electronic and hanging files.

• Complete SD department checklists as assigned.

• Complete program monthly expense reports, approved budget/termination checklist and annual required documents.

• Management of program enrollment via CHOICES.

• Upload and process of invoices per assignment.

• General office upkeep.

• Report all policy violations to appropriate personnel.

• Promote workplace safety.

Non-Essential Functions:

• Other duties as assigned within scope of practice by Manager and/or designee.

• Participate on various committees as able.

Compliance:

• Must maintain confidentiality and exercise discretion concerning all business-related matters, including but not limited to board/vendors/donors’ names, investigations, finance, operations, and employee relations matters.

• Must complete specific company required trainings as mandated by our governing agency, Office for People with Developmental Disabilities (OPWDD), at time of hire and annually thereafter.

• Must adhere to all departmental/company policies & procedures at all times & ensure compliance with direct report.

Education and Experience:

• Min. High School Diploma required, Associate degree preferred.

Computer:

• Strong working knowledge of Microsoft programs to include Email, Word, Excel, PowerPoint, Teams.

• Prior experience and knowledge with electronic database experience is preferred.

Qualifications:

• Must possess and maintain a valid NYS Driver’s License. A vehicle is required for business travel.

• Mature interpersonal/professional skills to effectively collaborate, resolve issues, and maintain confidentiality.

• Good verbal and written communication skills

• Demonstrated ability to use poise, tact, and diplomacy, during difficult and/or stressful situations.

• Proven ability to work in a fast-paced environment, with demonstrated ability to manage multiple tasks, and customer requests, while meeting deadlines

• Must use independent judgement and decision-making to plan, prioritize, and organize a diversified workload.

• Must be able to talk, hear, stand, walk, and/or sit for extended periods of time; may have to twist, bend, use hand to finger, stretch with hands and arms.

• May be exposed to strong odors from time to time.

• Must be able to lift and carry up to (50) lbs.

While performing the duties of this position, exposure to changing weather conditions will occur.

This position pays $21/hour
