SNOW COLLEGE Administrative Assistant - Richfield in RICHFIELD, Utah

Snow College is seeking a dynamic full-time Administrative Assistant to join our team at the Richfield Campus. This position will provide essential support to administration interacting with students, college employees, and community stakeholders. Reporting to the Director of Operations and External Affairs in close coordination and collaboration with the Dean of Business and Technical Education, the ideal candidate will be innovative, collaborative, and pay close attention to detail. Qualifications
  • Required Associates Degree or 3 years' experience. 
  • Provide excellent and professional customer care, including effective verbal and written communication face-to-face, phone, email, etc. 
  • Computer literacy in Microsoft Office Suite, data entry/management, and willingness to learn new software and technical skills. Adobe Creative Suite and website content management skills and experience preferred. 
  • Problem-solving skills, an ability to multitask and seek solutions to everyday problems 
  • Ability to work independently in the absence of specific instruction 
  • Excellent organizational, planning, and time management skills 
  • Strong attention to detail and accuracy 
  • Ability to establish and maintain effective working relationships with others 
  • Demonstrate an optimistic and positive outlook. 
  • Ability to maintain confidentiality
Major Responsibilities/Duties

Provides general administrative support, including  o Opening and closing the administrative office suite  o Greeting guests o Help with questions and troubleshooting  o Screening and prioritizing incoming calls o Copying and scanning paperwork o Preparing documents, reports, and travel arrangements as requested  o Organize workspaces  o Order and maintain office supplies and equipment  o Gather information and create content and design for various communications o In coordination with administration and communications department, submit events to campus calendar, update websites, and post to social media accounts.  o Complete any other special assignments and projects as directed by administration, including major college event planning/execution  o Ability to assist on weekends or evenings as needed (this would be rarely). 

Campus scheduling and hosting  o Create and maintain scheduling software entries  o Prepare documents, signage, and rental contracts  o Coordinate with various departments and services including facilities and food services  o Set up of basic A/V equipment 

Assist with Fitness Center  o Patron sign-in and sign-out  o Create and post signage  o Coordinate with fitness attendants 

Provide mail services for campus  o Distribute mail and interoffice communication to employees and students o Prepare postage  o Coordinate pick-up and deliveries  o Assist with coordination of courier services between campuses 

Support Dean of Business and Technical Education  o Prepare agendas and keep minutes  o Schedule and set up virtual meetings o Work with department chairs and program leads to promote Tech Ed programs  o Assist with grant activities as needed  o Schedule faculty review and collect, review, and prepare documents for submission  o Assist with textbook adoptions  o Update program webpages and information sheets  o Assist with syllabi updates as needed  o Coordinate faculty information, schedules, and announcemen ts  o Post class schedules in buildings o Other duties as assigned
