General Purpose

Facilitates activities in an effective sequence by monitoring tasks, task-owners timelines and expenditures. Compiles data, tracks, summarizes, and reports results, and develops and/or maintains reference information and databases. Compiles, organizes, and summarizes data from multiple sources; monitors/tracks processes to ensure their execution within defined parameters. Determines schedules and availability of resources/materials. Ensures activities are performed in accordance with contract, Corporate, and regulatory agency requirements.

Responsibilities of this position include the following:

  • Promote a customer first culture and commit to delivering outstanding results for customers.

  • Provide executive support as needed to three executives, including calendar management, travel arrangements, expense report processing, and monitoring inboxes.

  • Assist with ensuring executives take care of tasks or requests such as invoice approvals, expense report approvals or responses needed by others. Assist with preparation of weekly department reports. Witness binders when needed.

  • Draw data from a variety of sources, and prepare complex studies, trends, status or other departmental reports.

  • Contribute to the development of contract management processes and strategies.

  • Work directly with staff, vendors, and internal audit /business controls to ensure compliance of record keeping. Develop and communicate new processes as needed.

  • Contribute to and assist in the administration of billing processes and contracts.

  • Provide system administration and maintenance including adding and terminating users.

  • Maintain and develop effective internal and external relationships with a range of partners, vendors and stakeholders in order to cooperatively develop large events.

  • Plan, coordinate and facilitate major events and/or programs.

  • Negotiate discounts for event functions.

  • Coordinate requests for documentation and evidence, handling confidential and sensitive business data.

  • Maintain and update billing and budget reports. Prepare forecasts and other complicated reports as needed.

  • Provide assistance to internal and external questions, communicating and interpreting policies and practices.

  • Research and respond to client or partner group complaints and instigate remedial action in a timely fashion and ensure problems are resolved.

  • Maintain confidential records, and retain according to company policies.

  • Provide management with information on departmental operations and inform management of deviations from established processes or schedules which may impact business out comes.

  • Recommend alternative processes and practices to develop efficiencies.

  • May mentor other employees.

  • Examine incoming memos, submissions and reports to determine level of importance making referrals to appropriate executive staff or provides requested information

  • Composes letters and memoranda in response to incoming mail, email or calls.

  • Performs related work as assigned

Requirements for this position include the following:

• High School Diploma or equivalent; or the equivalent combination of education and experience.

• A minimum of three years of administrative experience regarding contract documentation, proposals, and contract files.

• Demonstrated initiative, problem-solving skills and follow through on commitments.

• Strong research skills, including identification of relevant information and key control points.

• Advanced communication and interpersonal skills to interface with team members and customers to promote positive customer outcomes.

• Proficient with the use of personal computers including spreadsheet, database, word processing, and presentation applications to compile, maintain, and present information.

• Communication and interpersonal skills including the ability to work with all organizational levels as a team member, to ensure that key information on schedules, requirements, and resources is communicated to management in a clear and timely manner.

• Ability to communicate and interact with individuals in all levels of the organization, industry and community.

Preferences

• Knowledge of Company and departmental policies, procedures, practices as well as applicable federal, state, and local governmental laws and regulations.

• Bachelor’s Degree in an applicable field.
