Job Summary

The Administrative Assistant- Recording Secretary will report to the SVP, Strategic Program Management and will perform administrative support activities associated with the Strategic Program Management team. This role will be heavily responsible for organized note taking during meetings and document management of strategic projects.

Here is how the Administrative Assistant- Recording Secretary will help:   

  • Coordinate and arrange meetings, prepares agendas, and records notes and transcribes minutes of meetings.
  • Extensive notetaking to record the main points and important details of meetings and presentations related to the TMP Day 1 Opening Program and other strategic projects.
  • Composes and types status reports, letters, forms, spreadsheets and PowerPoints.
  • Make copies of correspondence or other printed materials.
  • Assist with preparation of Senior Leadership Team meeting updates and presentations.
  • Organize and maintain Strategic Program Management team files, correspondence, and other records.
  • Perform other related tasks as assigned or required.

Qualifications

The following requirementslist the *minimum** education/training/experience required to qualify for this job. An equivalent combination of education and/or experience may be accepted.

Preferred requirements to apply for role of Administrative Assistant- Recording Secretary are:

  • Associates' degree from an accredited college or university in Business Administration, English or related field 
  • Two year administrative experience
  • Proficient in typing and data entry 
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
  • Possess or obtain prior to employment a valid Pennsylvania Class C driver's license.  Note: license must be maintained throughout employment.

We also expect that candidates will demonstrate the following knowledge, skills, and abilit es in most cases:  

  • Proficient in Microsoft Office applications including Word, Excel, Power Point, Teams
  • Considerable knowledge of general office practices and techniques.
  • Ability to use different technologies such as iPads, smart phones, conference calling, etc.
  • Ability to maintain strict confidentiality.
  • Ability to maintain complex filing system for both digital and hard copies.
  • Considerable organizational skills, and the ability to function effectively in a fast-paced environment.
