The Total Rewards Benefits and Leaves Specialist is responsible for the day-to-day compliant administration and coordination of the benefits and leaves programs for the Philadelphia location which includes corporate, site, and union employees. The primary responsibilities will include being the primary source of contact for the communication and administration of employee benefits, leaves of absence, wellness / well-being, and compliance programs for the location. In addition, this position is a member of the Total Rewards team and will, as appropriate, participate in the design, planning and execution of the benefits strategy including involvement with open enrollment, the administration of group benefits programs and Workday improvements in these areas.

Responsibilities:

  • Responsible for the compliant administration of the group benefit programs in Philadelphia ensuring flawless delivery and timely reporting.

  • Coordinate daily benefits processing, handle new hire enrollments, open enrollment, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, QDRO’s, distributions, loans, and compliance testing. Research issues and escalate as appropriate.

  • Serves as a consulting resource for employees on benefit options and enrollment processes for health, dental, vision, COBRA, FSA, HSA, 401(k), disability, leaves of absence, and wellness programs.

  • Act as liaison between the company and union for benefits and serve as the Company contact between the two. Ensure new hire enrollment elections are entered into the HRIS accordingly.

  • Participate in the design, planning, communication, and administration of employee benefits programs as well as open Enrollment planning and execution including event coordination, system updates, testing, communications, audits, and employee follow-ups. Utilize in-depth knowledge and legal resources to ensure all local, state, and federal regulatory requirements are satisfied.

  • Ensure overall compliance by reviewing and assisting with the audit process of the 401(k) in preparation of the annual Form 5500 filing and monitoring ACA tracking for variable hours and part-time employees who may become eligible for benefits under the ACA.

  • Set up the Workday Benefits module for the union benefits so it is self-service and ensure the Benefits module overall is performing at an optimal level.

  • Responsible for processing FMLA and disability requests, in conjunction with Third-Party Leave Administrator, including processing requests in Workday, follow-up with managers, and managing communications. Monitor length of leaves and approvals to ensure excellent communication between the company, employee, site HR, and supervisor. Ensures written documentation is thorough and handles return to work status, collaborating with business leaders in the management of restrictions and accommodations if necessary.

  • Facilitates requests for accommodations and maintains compliance with ADA including conducting the interactive processes for each request.

  • In collaboration with the Total Rewards Leaves team, develop a harmonized approach to the leave of absence program, including tracking systems, communications, dashboards, and enhanced employee experience.

  • Preserves confidentiality of employee health, benefit, and payroll information.

  • Respond to inquiries from management and employees regarding policies, procedures, and programs.

  • Provides support to the Total Rewards team including during the open enrollment process and with compliance programs at the site.

  • Provide back-up support to the Benefits Administrator and Total Rewards Specialist.

  • This position may require extra hours and/or weekend work.

  • Knowledge of and adherence to all PCI, cGMP, and GCP policies, procedures, rules.

  • Attendance to work is an essential function of this position.

  • Performs other duties as assigned by Manager/Supervisor.

Qualifications:

  • Bachelor’s degree preferred

  • 5+ years benefits administration and leaves of absence experience required

  • Workday experience required
