Receptionist (Temporary)

Position Profile:

Under the direction of the Executive Administrator, the Receptionist will manage all Front Desk activity, including answering and directing phone calls, greeting visitors, and receiving and forwarding communications received via email. This role is also responsible for placing catering orders, ordering office supplies, and assisting with certain functions to support the organization.

Minimum Required Qualifications:

  • High School diploma or equivalent

  • Demonstrated experience in an office/administrative environment

  • Excellent verbal/written communication skills required for multi-faceted interactions with all levels of personnel within the organization, as well as any and all outside agents, including but not limited to; vendors, suppliers, customers, job candidates, etc.

  • Strong computer literacy, with MS Office/PC expertise

Essential or Primary / Key Responsibilities:

  • Provide excellent customer service by warmly greeting visitors, in person or on the phone

  • Effectively answer, screen, and direct calls to the appropriate Company personnel

  • Complete office supply orders, based on business needs and budgetary requirements, keep inventory of stock

  • Prepare conference rooms prior to meetings, assist employees with room reservations, and ensure cleanup post-meetings.

  • Respond to employee office supply requests in a timely manner, by getting the requested supplies and notifying the employee the order is ready for pickup at Reception

  • Order building supplies and equipment as needed

  • Assist with planning and organizing employee events

  • Serve as the point of contact for employees regarding shuttle-related inquiries, including schedule, mobile app usage, visitor arrangements, and other related matters.

  • Place catering orders, per employee requests, and ensure the orders are delivered on time and accurately

  • Ensure the Reception area is tidy and presentable, with all necessary stationary and paperwork

  • Assist the HR, Security and Safety Departments with administrative support, as needed

  • As the first point of contact at Marotta, maintain a professional attitude and outward appearance at all times

  • Secure backup coverage for the front desk, during vacations, sick/personal days, or other absences

  • Fill and maintain coffee machines, place service calls as needed, and order supplies

  • Liaison with internal and external shipping and receiving, coordinating outgoing mail/packages and sorting/distributing incoming mail/packages,

  • Cover for Receptionist in our Montville, New Jersey office as needed. Duties include the above and include:

  • Ensure proper security protocol is followed, with regards to sign-in procedures (US Persons and Foreign Nationals), recording devices, Main Gate Entry, Visitor Pass distribution, etc.

  • Operate the Main Gate for visitors entering through the back of the building (Shipping & Receiving, construction, cell tower, employee lot, etc.) and log the visit into the book

Additional Duties / Responsibilities:

  • Abide by all safety, quality, housekeeping and company policies/procedures to ensure compliance to various regulatory and internal system requirements

  • Contribute to a positive and cooperative work environment through effective communication at all levels internal and external to the organization

  • Participate in team meetings, improvement initiatives/programs, etc., when applicable

  • Consistently demonstrate commitment to company values

  • Keep management informed of area activities and of any significant problems

  • Assume responsibility for related duties as required or assigned

  • Ensure that work area and work areas are clean, secure, and well maintained

  • Complete special projects and miscellaneous assignments as required

Work Environment:

  • This job interacts both in a professional office environment and a manufacturing/machine shop environment. This role uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines, as well as environments inclusive of the appropriate eye, hearing and foot protection (as required).

  • This is a temporary position - approximately 6 -10 month assignment. Days and hours of work are 7:30 am - 3:00 pm, Monday through Thursday. Overtime and weekend work as job duties demand.

  • No travel is expected for this position

Physical Requirements:

  • While performing the duties of this job, the employee is regularly required to see, talk, and hear

  • The employee is frequently required to reach and lift with hands and arms, and to use hands to finger, handle or feel

  • The employee is regularly required to sit, stand, walk, bend, turn, etc., and move about the facility

  • The employee may be required to lift, push, pull and/or move items weighing up to 25 pounds

This position is at our Parsippany, NJ office location.
