Robert Half Project Assistant in Palm Desert, California

Description We are offering a contract to hire employment opportunity for a Project Assistant in the government sector. This role will be based in Palm Desert, California and will entail a range of administrative and project-related tasks. The Project Assistant will be responsible for contract management, document conversion, insurance tracking, process documentation, and spreadsheet management.

Responsibilities:

• Assist in managing and maintaining contracts, ensuring all necessary documentation is complete and accurate.

• Process new contracts, track contract deadlines, and ensure compliance with contractual obligations.

• Review and prepare board agendas, ensuring all relevant documents and materials are included.

• Convert documents from Excel spreadsheets into specified file formats, ensuring accuracy and consistency during the conversion process.

• Monitor and track insurance policies and related documentation, ensuring all insurance requirements are met and up-to-date.

• Develop and maintain process documentation for various tasks and projects, ensuring all documentation is current and easily accessible.

• Take data from spreadsheets and convert it into required file formats, ensuring data integrity and accuracy during the conversion process.

• Use Microsoft Office Suite, particularly Excel and Word, to perform data entry and manage timelines.

• Organize files and documents, ensuring they are easily accessible and properly stored.

• Provide excellent customer service while handling inquiries and issues related to the project. Requirements • Minimum of 3 years of experience in a project assistant role or similar position within the government sector

• Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook

• Demonstrated experience in managing timelines and organizing files

• Proven ability to perform data entry tasks with high accuracy

• Strong customer service skills with a commitment to providing exceptional service

• Experience in scanning documents and maintaining digital and physical filing systems

• Excellent written and verbal communication skills

• Ability to work collaboratively within a team and independently when necessary

• Strong problem-solving skills and the ability to manage multiple tasks concurrently

• Must be organized, detail-oriented, and able to handle confidential information professionally.
