ARAMARK Associate Director of Conference Planning - NCED Hotel & Conference Center in Norman, Oklahoma

This position manages event planning functions and staff on a daily basis. Position has overall responsibility for executing all property meeting events with a seamless turnover from sales to operations. Ensures team maximizes revenue opportunities by up-selling and accurately forecasting group rooms and meeting events. The position is responsible for achieving guest and employee satisfaction and for managing the financial performance of the department. Core area of responsibility is the Conference Planning Managers, Business Center, and Administrative Assistant(s). Position oversees the administrative processes associated with the pre-event and post-event phases of an event and the associated transitions between all event phases. Responsible for the strategic planning of the department as well at the budgeting and capital spending allocations. The position is responsible for achieving guest and employee satisfaction and for managing the financial performance of the department.

Job Responsibilities

? Oversees for turned opportunities? function space and group room blocks.

? Communicates and executes departmental and property emergency procedures and ensures staff are trained in safety procedures.

? Leads execution of activities to support the Event Management strategy.

? Works with direct reports to review scheduled events and troubleshoot potential challenges/conflicts.

? Leads discussions to review event complexity and proactively avoid service challenges and failures.

? Ensures the property is apprised of all groups that will impact property operations.

? Manages customer budgets to maximize revenue and meet customer needs.

? Maintains inventories to maximize customer satisfaction and revenue opportunities.

? Works with highly complex or high profile groups when financial impact will be significant.

? Ensures meeting space and corresponding heart of the house areas are cleaned and maintained.

? Ensures furniture and equipment is maintained and inventory levels are kept in accordance to corporate guidelines.

? Monitor, on a daily basis, Delphi?s list dailies and CEO/BEO to ensure information is up to date and accurate.

? Works with the Food & Beverage team to ensure operational logistics are accurately presented and are to the property and industry standards.

? Once a program has been completed, prepare an assessment of the William F. Bolger Conference Center team?s delivery and performance.

? Reviews property specific event operations annually and makes appropriate adjustments.

? Consult with customers in order to determine objectives and requirements for events such as meetings, conferences, and conventions.

? All other duties as assigned by the Director of Conference Planning.

? Displays leadership in guest hospitality, exemplifies excellent customer service and creates a positive atmosphere for guest relations. Ensuring and providing exceptional customer service

? Communicates vision for service delivery in Event Management to ensure guest is serviced from arrival to departure (e.g., greeting from maitre'd or event services team, food and beverage delivery, fulfillment of special requests, invitation to return).

? Champions all standards, policies and procedures (AOP, Core Deliverables, SOPs, LSOPs, etc.).

? Interacts with guests to obtain feedback on product quality and service levels.

? Responds to and handles guest problems and complaints.

? Empowers employees to provide excellent customer service.

? Establishes guidelines so employees understand expectations and parameters as well as holding team accountable for operational and service failures. Establish a culture of rewards and recognizes.

? Maintain a high level of morale and cooperation.

? Induce pride for working for Aramark and the William F. Bolger Conference Center.

? Act as Director of Conference Planning when Director is task forcing at other properties

? Shares plans with property leadership and ensures corrective action is taken to continuously improve guest satisfaction.

? Interacts with guests to obtain feedback on product quality and service levels.

? Responds to and handles guest problems and complaints.

? Strives to improve service performance.

? Empowers employees to provide excellent customer service.

Conducting Human Resources Activities

? Ensures staff receives on-going training to understand guest expectations.

Qualifications

Ideal candidates will possess a bachelor's degree and at least three years of Conference Planning or Catering

experience.

? Delphi sales and catering software experience is highly preferred. SGMP and/or MPI membership is desirable.

? The ability to manage in a diverse environment with focus on client and customer services is essential.
