POSITION SUMMARY:

Under the direction of the CNO and the Medical Staff/Executive Administration Supervisor, the Administrative Assistant coordinates communication and special activities for the Nursing Department and the Executive Administration Office. The Administrative Assistant provides clerical support to CNO and Nursing Directors, as needed.

ESSENTIAL FUNCTIONS:

  • Under the direction of the Medical Staff/Executive Admin Supervisor and CNO works closely with the Quality Data Analysis Coordinator to ensure smooth operation of the Administrative offices.

  • Answers telephone and screens visitors and responds to their questions exercising discretion and judgment or relays information to appropriate person.

  • Serves as back-up Kronos Time Editor for nursing supervisors and other departments as needed. Ensures edits are done correctly, approvals are done timely and all pay policies are followed. Ensures time records are maintained by policy. Responsible for ensuring all time is approved and payroll is clear to run on payroll Monday by reviewing Kronos Dashboard prior to payroll cut-off.

  • Produces correspondence and other materials on a variety of general and technical topics, some of which are highly confidential.

  • Coordinates special activities and functions for the Nursing Departments.

  • Maintains physician and clinical support call schedules. Requires professional collaboration and communication with physicians and office staff.

  • Assist with typing for policies, forms and orders.

  • Copying, mailing and distribution of all related correspondence and pertinent materials.

  • Coordinates all Nursing Administration files; assists in the coordination and maintenance of all records to assure compliance with all Joint Commission and other regulatory requirements and standards

  • Communicate potential problems, when possible, prior to their becoming major issues.

  • Prepares meeting agendas in collaboration with the CNO. Ensures agenda and sign-in sheet are available before meetings.

  • Takes minutes in various Nursing Department meetings and transcribes them timely.

  • Serves as the Nursing Administration Security Team Lead serving on the facility Security Lead Team Committee.

  • Serves as the Records Retention liaison for Nursing Administration.

EXPERIENCE REQUIRED OR PREFERRED:

  • Training in secretarial sciences or related business field and at least 3 years of administrative assistant experience required

  • Communication– communicates clearly and concisely, demonstrates advanced understanding of medical terminology

  • Analytical Skills– demonstrates ability to critically evaluate and appropriately act upon complex clinical and technical information

  • Customer orientation– established and maintains long-term customer relationships, building trust and respect by consistently meeting and exceeding expectations

  • Tactical experience– oversees the development, deployment and direction of various programs and processes

  • Policies and Procedures– articulates knowledge and understanding of organizational policies procedures and systems

  • PC Skills– demonstrates proficiency in Microsoft Office (Excel, Word) applications and others as required

  • Financial management– applies tools and processes to successfully manage to budget
