The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Program Coordinator will oversee and direct day-to-day academic activities and provide important administrative support to multiple faculty members, research programs, labs and initiatives within the HICCC. The Program Coordinator will also be responsible for providing administrative support for the HICCC Irving Cancer Drug Discovery Program .

Responsibilities

  • Schedule meetings (request conference rooms, update shared calendars, coordinate A/V support etc.) in support of research programs, labs and initiatives.
  • Schedule potential recruits/candidates and visiting speakers for interviews with leadership and institutional stakeholders and liaise with other Institutional AAs as appropriate.
  • Advertise seminars and meetings as needed through email and flyers.
  • Coordinate registration, travel arrangements and reimbursements for meetings and conferences, ensuring compliance with University and HICCC travel policies and procedures.
  • Coordinate activities (managing all logistics for meetings, conferences, grant review sessions, external advisory board including arranging venue, catering, travel/reimbursement for board, tracking expenses etc) for the HICCC Irving Drug Discovery Program.
  • Liaise with Communications to maintain program web site.
  • Manage calendars and respond to requests for meetings (e.g. doodle polls).
  • Manage membership applications and annual renewals.
  • Order office and lab supplies and/or reconcile lab supply transactions for other lab members.
  • Submit requests for access through CUIT, Telecommunications, etc.
  • Maintain and manage repair of office supplies and equipment.
  • Manage purchase orders, P-card reconciliations, accounts payable and lab/program budgets.
  • Provide support for other financial activities as appropriate.
  • Provide administrative support for grant applications (Biosketch and Other Support, Facilities and Resources, and Equipment, and PMC-compliant Bibliography updates) and publication submissions.
  • Assist with lab and/or research trainee activities as assigned.
  • Greet and direct visitors; and pick up and distribute mail.
  • Perform other duties and responsibilities as requested.

Minimum Qualifications

  • Bachelor's degree or equivalent in education and experience.

Preferred Qualifications

  • Must be proficient with Microsoft Office including Word, Excel, PowerPoint and Outlook.
  • Excellent communication and organization skills.
