This position is located in our New York office and offers a hybrid work schedule. On site presence is required.

Minimum Requirements:

  • High school diploma

  • 5 years’ experience providing exceptional administrative support to senior leaders or C-suite executives

  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint.)

  • Highly efficient, organized professional

  • Excellent communication interpersonal and time management skills

  • Proven ability to manage projects, meet deadlines and execute deliverables

  • Commitment to excellence and performs duties at the highest level possible on a consistent basis

  • Ability to function well in a high-paced environment

  • Use discretion, confidentiality, and good judgment to handle practice group, client, and firm leadership matters

Preferred Requirements:

  • Bachelor’s degree in business, Finance or related field

What will your day look like?

As an Executive Assistant, you will perform practice area support responsibilities for assigned partners. You will manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the firm. You will navigate dynamic political situations with excellent judgment and situational awareness. You will develop and maintain professional relationships, ensuring efficient teamwork and providing clear and timely information. You will work collaboratively and proactively with others to facilitate timely and effective implementation of strategic plans, objectives, and projects, managing timelines and executing simultaneous deliverables. You will prepare Word, Excel, PowerPoint presentations, agendas, reports, spreadsheets, and other documents. You will maintain reports and spreadsheets and distributes on a regular basis. You will coordinate events, seminars, and retreats, managing logistics, engaging vendors, and preparing materials to ensure a successful event. You will work proactively with lawyers, firm leadership, and various departments on preparing materials for various meetings, events, and projects. You will analyze and review contract proposals for various projects, performing cost analysis against the budget.

Additionally, you will coordinate and participate in department, practice group, committee, and firm meetings, preparing agendas and meeting materials, managing logistics and engaging the appropriate parties to ensure a successful meeting. You will prepare communications and materials on behalf of partners, departments, practice area and/or firm leadership, which may include confidential correspondence and documents. You will plan and manage complex travel arrangements, provide itineraries and travel documents and processes expense reports. You will organize complex calendars and schedules; resolve scheduling conflicts and partner with key stakeholders and other teams for meeting details. You will work closely and proactively with partners and leadership to keep them informed of upcoming commitments and responsibilities, prepare materials in advance, and follow up appropriately. You will respond to emails and calls on behalf of partner and/or firm leaders, have extensive direct contact with clients and business contacts. You will perform work impacting partner financial viability with client matters. You will partner with billing and collections departments, monitoring client budgets for reporting purposes and provide updates to partners and leadership. You will maintain paper and electronic filing systems, ensuring compliance with Information Governance policies. Other duties as assigned.

Physical Demands, Work Environment, and Other Requirements

Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.

The expected pay range for this position, if hired to work in New York is $52.00- $77.00 per hour. Non-exempt positions will be paid on an hourly basis and paid overtime in accordance with applicable laws. The compensation offered to a candidate selected for employment will be dependent upon various factors, including the candidate’s geographic market, skills, educational and professional background, experience, and overall qualifications. We offer a comprehensive package of benefits including paid time off, medical/dental/vision insurance, and 401(k).
