Job Description
Provide support to senior managers in a timely and professional manner. The successful candidate will be responsible for providing high quality administrative and clerical assistance while greeting guests and managing phone calls and emails to ensure the office workflow runs smoothly.
*Proven work experience as an Administrative Assistant or similar role to include strong communication skills, excellent organizational skills, computer and office equipment knowledge, and experience exercising discretion and confidentiality with sensitive company information is required.
Job Duties
DAILY
Answering phones and directing calls.
Having Division Manager sign Policies, Receipts, and/or Expense Reports.
Checking-in visitors to the office and/or mill by having them complete the correct documentation and providing necessary PPE.
Managing the Director of Operation's schedules.
Directing Main Office foot traffic.
Emailing reminders for meetings and events.
Sort and distribute mail from USPS, UPS, and Fed-Ex.
Maintain appearance of Lobby.
Locking front and plant side door of Main Office when office closes.
Weekly
Working in conjunction with Jonesboro HR, i.e (New Hires, directing employees to correct HR staff in Jonesboro, and keeping a weekly attendance report.)
Collecting information for and distributing a weekly absence and agenda for Managerial Staff.
Maintaining the Director of Operations' expense reports.
Printing and organizing job listings for distribution to plant break areas.
Can occur more often if necessary.
Work with cleaning service for schedule changes and routine cleaning schedules.
Work with Cintas for uniform changes, new-hire uniforms, and first-aid cabinets.
Bi-Weekly
Ordering and restocking Conference Room supplies, Break Area supplies, office supplies, and donations.
Communicate with shredding service.
Monthly
Printing and distributing birthday cards for all New Madrid site full-time employees.
Submitting the Director of Operations' expense reports.
Bi-Monthly
Editing, designing, creating content for, printing, and distributing the company newsletter for the New Madrid Mill.
Cleaning the Conference Room Fridge.
Quarterly
Updating and distributing the phone directory for the New Madrid mill.
Review cell phones charged to New Madrid accounts.
Yearly
Collecting and organizing data for New Madrid capital budgets.
Adjust the times on the Main Office clocks at each equinox.
Decorate the Main Office as the season dictates.
i.e. Christmas tree
Organizing and decorating room for yearly Christmas lunch.
As Needed (This can range from every day to once a quarter)
Working to supply auditors with necessary documents.
Creating and maintaining Excel workbooks as needed by Administrative/Executive Staff, including data entry, and producing charts and/or graphs.
Creating documents using Microsoft Office to create forms for Managerial and Supervisory staff to approve and use throughout their department.
Maintaining digital files regarding local properties purchased by the company.
Designing shirts distributed as employee rewards.
Recording and distributing minutes for meetings as requested.
Checking out company vehicles for use.
Designing prese tations for internal and external meetings
Creating signage for the Main Office.
Reviewing materials for accuracy, grammar, and content before distribution by Administrative/Executive Staff via email or a mail service.
Maintaining and organizing physical and digital files for Administrative/Executive Staff.
Creation of reports, collection of data, and production of booklets and correspondence as needed by Administrative/Executive Staff.
Communicate with office equipment repair/maintenance companies.
Communicate with the Cleaning Company regarding changes, issues, and Riceland's needs.
Communicating with the Postal Meter Company regarding supply orders, rate updates, and maintenance
Ordering and arranging catering for office meetings/events.
Laminating signage/booklets for Managerial/Supervisory staff.
Printing in color for Managerial/Supervisory staff in plant.
Ordering business cards through Ashley Eagle.
Sending out Personnel Announcements per the Division Manager and Director of Operations.
Contacting maintenance for building repairs.
Other duties may be assigned.
Education Requirements
Administrative Assistant Certification, associates degree or High School diploma with 3-5 years of related experience.
