Customer Service Representative - New Century, KS

NATURE OF WORK:

Serve as a key point of contact for both internal and external customers. Responsible for managing customer orders and facilitating customer requests while proactively communicating changes. Provide essential documentation to ensure receipt of goods and payment of invoices.

ESSENTIAL RESPONSIBILITIES AND DUTIES:

The essential functions of this position include but are not limited to the following:

  • Initiate timely and accurate order process through the receipt and confirmation of customer orders. Verify product availability, lead time, payment and incoterms. Coordinate shipment type, condition, date and route to ensure on time delivery to the customer.

  • Collaborate with multiple departments of the Supply Chain including, Production, Quality Control and Warehouse and Logistics to confirm product availability and present customer with options.

  • Maintain customer transactions through electronic filing of customer purchase orders and correspondence.

  • Promote customer satisfaction and effectively manage customer orders by consistently maintaining a professional relationship through the utilization of multiple order maintenance reports. Provide customers with information concerning the status of their orders including carrier tracking information and proof of delivery.

  • Enter customer complaints in a prompt manner. Coordinate returns with warehouse personnel, logistics and the customer as needed.

  • Financial responsibilities to include supporting Accounts Receivable in the resolution of invoice disputes. Delegation of Authority and conservation of proper documentation is required for monthly as well as annual audits to ensure SOX compliance before issuing credits, debits and returns.

  • Monitor customer master data and notify customer master group of any revisions needed to ensure account data is accurate.

  • Ensure adherence to all management systems including, ISO 9001:2008, ISO 14001 and OHSAS 18001 and Food Safety, with an understanding of Danisco’s Quality and Environmental Policies and procedures. Responsible that these policies and procedures are implemented throughout the organization and all related activities under the position's jurisdiction.

Job Requirements

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

To successfully perform the requirements of this position, the incumbent must have high school or equivalent education with Associates Degree preferred. A minimum of three years customer service/order entry experience, typing (65) words per minute and proficient in Microsoft Office systems is required. In addition, the incumbent must have knowledge of freight and shipping terms with excellent telephone etiquette. Strong communication; both written and verbal along with organizational and time management skills are required. Superior statistical knowledge is needed to perform daily duties and the incumbent must be able to work both effectively and efficiently in a fast paced environment.

SCOPE OF POSITION:

  • This position reports directly to a Customer Service Manager and the incumbent must be able to perform a myriad of tasks with minimal supervision and errors. Decisions are made on how best to perform work within stated policies and procedures. Typical problem solving activities include determining the best method for handling customer orders and meeting the needs of the customer within business guidelines.

  • Management retains the discretion to add or change the duties of this position at any time.

WORKING CONDITIONS:

This position operates in a normal office environment 100 percent of the time. Minimal lifting is required as incumbent will spend 90% of their time sitting at a desk.

  • Provide consistent data and documents to production, sales, warehouse, logistics and customers

  • Accurate and appropriate customer information maintained.

  • Responsiveness in answering all incoming calls and returning voicemails timely.

  • Ability to multitask within multiple systems and screens.
