A Day in the Life

· In compliance with Medtronic policies and relevant regulations, plans and organizes internal and external business-related meetings, symposiums, conferences, and program events by working with meeting stakeholders to align and execute against strategic direction (e.g., meeting objectives, desired outcomes, intended audience, content coordination, creative and innovative engagement techniques).

· Addresses all aspects of budget and billing, including development of and tracking against budgets, field chargebacks, identification, and capture of cost savings/cost avoidance efforts, coordinating payment to vendors, and managing meeting expenses according to AOP.

· Lead hotel sourcing for all SHA HCP meetings, including Cvent RFP development, proposal reviews, end user recommendations, hotel negotiations, and contract review. Expert in contractual terms, MSAs, and hotel addendums.

· Manage and grow vendor relationships with hotel partners and lead sourcing agency.

· Generates, analyzes, and communicates event level and cross-event reporting against identified key meeting metrics and value-proposition indicators, as needed. Manage quarterly cost savings and cost avoidance data to roll up to Sr. leadership.

· Team leadership: Manage workload assignments in Cvent and Smartsheet, lead team meetings, create and refine processes among meeting planners and shared service teams, employee training and mentoring. Assist leadership with data and miscellaneous strategic projects as needed. Manage training and onboarding of new employees.

· Cross functional leadership: Represent SHA on the Medtronic Meeting Advisory Board, lead the meeting best practices bi-monthly workstream.

· As needed, managing logistics of program functions, including but not limited to space set-up, food and beverage, arrangement of air and ground transportation, passport and VISA clearances, book and coordinate AV/Production and Auxiliary Technical Services, program registration and transfer of value for Sunshine tracking post program.

Must Have: Minimum Requirements

  • Bachelors degree required and 10 years of relevant experience in the meeting planning industry, or advanced degree with a minimum of 8 years of relevant experience.

  • Experience working in a fast paced, global organization

  • Certified Meeting Planner (CMP)

  • Cvent knowledge and experience

  • Previous experience with an association or membership organization

  • Experience planning and monitoring budgets for events
