What You’ll Do:

  • Provide administrative support for Managing Director and Operations Manager. Manage correspondence, emails and meetings in a professional and confidential manner.

  • Perform administrative duties including expense reports, ordering office supplies, new employee onboarding, coordinating schedules for interviews.

  • Assist in marketing budget management by tracking listings and approvals.

  • Provide backup for Reception, handle incoming calls and route calls to appropriate personnel or voicemail. Respond to routine inquiries and provide information about the organization. Maintain confidentiality of all calls and information.

  • Manage daily property operations including scheduling contractors. Issue parking validations and maintain all parking requests

  • Assist with scheduling client meetings, ordering food as required and preparing conference rooms.

  • Interact with vendors for client / employee events and coordinate setup at venues.

  • Write routine reports and correspondence and respond to common inquiries or complaints from clients, co-workers, and supervisors.

  • Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.

  • Impact through clearly defined duties, methods, and tasks are described in detail.

  • Deliver own output by following defined procedures and processes under close supervision and guidance.

What You’ll Need:

  • Post seconday education

  • Ability to follow basic work routines and standards in the application of work.

  • Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.

  • Strong organizational skills with an inquisitive mindset.

  • Strong communication skills
