Our small, family-owned company in Mishawaka, IN, is seeking a reliable and detail-oriented Administrative Support Specialist to provide essential administrative and organizational assistance to management. We are looking for a long-term hire who can become a key member of our team and help support our daily operations.
Key Responsibilities:
Administrative Operations: Support management with daily tasks including scheduling, managing correspondence (emails, phone calls, letters), and ensuring smooth day-to-day operations.
Document Management: Prepare, edit, and organize documents, reports, and presentations as needed. Maintain accurate and confidential records.
Calendar & Scheduling: Coordinate and manage calendars for management, schedule meetings, and send reminders to ensure deadlines are met.
Customer and Vendor Communication: Serve as a point of contact for customers and vendors, addressing inquiries and coordinating information as necessary.
Office Supplies and Inventory Management: Monitor and resupply office inventory to ensure the team has everything needed to function efficiently.
Data Entry and Reporting: Input and maintain data in systems accurately and assist in creating reports for management decisions.
Process Improvement: Identify opportunities to streamline administrative processes and suggest improvements beneficial to the team and organization.
Requirements
Qualifications:
Experience: 2+ years of administrative or office support experience, preferably in a small business setting.
Skills: Strong organizational, multitasking, and time-management skills. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Communication: Excellent verbal and written communication skills, with strong attention to detail.
Independence: Ability to work independently while also collaborating effectively in a small team.
Professionalism: Strong customer service skills and the ability to maintain confidentiality.
Education: High school diploma or equivalent required; additional education or certifications in business administration or a related field are a plus.
