We seek an individual who has general office administrative skills, and are excited to welcome you to our department. The position is new to the department, and is being hired in a temporary capacity with the intention to become a continuing position depending on performance, available funding and department needs. Position responsibilities include: General Department Support - 50% This position will be responsible for the front of the house in terms of cleanliness and organization. Some of the tasks included in front of the house monitoring include: * Auditing department mail boxes as needed, and updating. * Auditing department contact list as needed and updating. * Auditing the current department keys, and organizing the keys. * Checking out and receiving keys following a departmental process. * Triaging packages and informing department contacts when packages arrive. * Answer the department phone and transfer to the appropriate contact. * Unlock department doors and lock department doors for business hours. * Support scheduling of FWCB Conference room 135 in partnership with other FWCB office staff. * Photocopying, faxing and scanning. * Sort and send mail and packages as needed or requested. * Replenish office supplies * Arrange meetings and schedule appointments for department head. * Greet and direct visitors; respond to requests. * Maintain cleanliness in the main office areas. Department Administrator Support - 25% * Entering information into a spreadsheet. * Mail merging information into department letters, saving letters following a specific naming convention and adhering to deadlines. Assisting with special projects and general office support - 25% The department and department leadership often have support needs for small one-time projects that can include, but are not limited to: * Partnering with current department staff on department projects as needed. Assisting with a front office project to redesign our entrance space, directed by the department head, managed by the administrative director. * Other duties as assigned. Qualifications Required qualifications: High School diploma Two years of office/administrative experience Training and education may be substituted for some experience. Computer experience required.
