The position works independently and in partnership with other department administrative leaders and is responsible for carrying out administrative and operational job functions by being both strategic and detail-oriented; effectively prioritizing work; anticipating potential problems and developing creative solutions; exercising independent judgment with discretion and building constructive relationships with faculty and staff. This position will be performed in a hybrid work environment, 2-3 days in the office. The supervisor will determine the appropriate balance that meets the needs of the department. The work location is in the Mayo Building on the East Bank. Comp range: $28.35 - 33.65/hr Responsibilities: Administrative project support (40%) Assist with facilitating department projects as assigned which may include, but are not limited to: Promotion and Tenure process Faculty mentoring program Annual faculty evaluations Faculty recruitment Faculty and staff onboarding Faculty activity database maintenance and reporting (Works) Part A time reporting collection Collaborate with team members on department event planning Departmental research support request processes Identify opportunities for leveraging technology to improve operations, workflows and processes Ad hoc projects as assigned Administrative Support Supervision (40%) Supervise and direct the work of division administrative professional staff Delegate, assign, and monitor tasks and duties of the team Work with division leaders, faculty, and staff to identify needs, obstacles, and issues, as well as potential solutions, troubleshoot and identify resolutions Assist with developing, designing, and documenting effective administrative and operational workflows, systems and job aides Conduct analysis and make recommendations to improve efficiencies and effectiveness of business operations to best align with the department and division goals Guide work prioritization Cultivate a deeper bench knowledge of administrative professional staff knowledge, skills, abilities and interests Foster clear and consistent communication Lead and motivate staff to achieve high levels of productivity, quality and goal accomplishment Create a positive, engaged, team-oriented working environment Faculty administrative support (20%) Provide independent administrative support in a fast-paced environment with many competing demands that require initiative and the ability to quickly adapt to short deadlines and last minute requests Effectively manage time and scheduling needs of assigned faculty Provide direct administrative support to Vice Chair for Translational Research Serve as a Chromeriver delegate for faculty expense reimbursements Provide purchasing support as needed Maintain current knowledge of relevant University purchasing processes and policies Build and maintain excellent relationships and communications with faculty members and staff associated with the department and divisions Maintain current knowledge of relevant institutional policies, practices and processes regarding faculty, academic affairs, purchasing and operations Provide administrative support to department DEI committee Other projects as assigned Qualifications All required qualifications must be documented on your application material(s). Required Qualifications BA/BS with at least 2 years of experience or a combination of related education and work experience to equal six years; position involves comparing, verifying, and reconciling data to help the department achieve overall objectives. Su ervisory and management experience (staff level) Excellent verbal and written communication, organizational, time management and problem-solving skills Experience independently managing administrative projects, performing complex, detail-oriented tasks, and setting priorities Microsoft Office Suite and Google Workspace proficiency Must be able to work independently as well as with a team Must be able to prioritize work while maintaining flexibility for timelines, deadlines, and urgency of specific tasks Preferred Qualifications Administrative experience working in an academic or research setting Ability to leverage software technology to advance office operations Strong technical and project management skills Experience with designing operational workflows to ensure efficiency and effectiveness Experience with EFS financial system, Chromeriver, University purchasing familiarity Benefits Working at the University At the University of Minnesota, you'll find a flexible work environment and supportive colleagues who are interested in lifelong learning.
