ATTEN DAVID WARNOCH Office Specialist - Midvale in MIDVALE, Utah

JOB SUMMARY:

Front Office Specialist.

ESSENTIAL FUNTIONS:

Duties include, but are not limited to:

  • Manage daily records tasks including but not limited to daily records log, DUI citation packet distribution, scanning DV documents then attaching to UPD report in RMS, etc.
  • Receptionist/customer service duties including answering phones, managing walk-ins and visitors, record requests, register/cash handling, etc.
  • Accept complaints from the public and refer to appropriate precinct command.
  • Prepare and submit SLDA and Midvale Screening Packets and maintain Midvale screenings spreadsheet.
  • Maintains spreadsheets and/or Smartsheets for tracking traffic enforcements shifts (STE), promise to appear, officer subpoenas, etc.
  • Provides Midvale Justice Court with weekly citation stats.
  • Researches and tracks Midvale Justice Court citation issues-shares outcome with Midvale Court.
  • Maintains precinct records department files.
  • Manages monthly validations for Firearms/Vehicles/plates/articles on NCIC.
  • Maintains department forms inventory.
  • Maintains supplies offered at UPD's property and evidence such as gloves, drug testing kit, etc.
  • Prepare/send outgoing mail and faxes. Distributes incoming mail, faxes, etc.
  • Conduct RMS research as requested/needed.
  • Assist with scheduling building and office machines maintenance and repair needs.
  • Assists with surplus.
  • Assist and support command staff, supervisors, officers, and detectives as needed.
  • Other duties as assigned.

EXPERIENCE/EDUCATION REQUIREMENT:

  • At least 18 years of age
  • High school diploma or GED

KNOWLEDGE, SKILLS AND ABILITIES:

  • Ability to maintain an extreme level of confidentiality regarding investigative case content.
  • Intermediate skills with Microsoft Word and Excel spreadsheets
  • Professional telephone etiquette.
  • Ability to pass UPD administered type test at 35 words per minute.
  • Able to pass UPD comprehensive background check.
  • Knowledge of general office procedures.
  • Knowledge of UPD policies and procedures.
  • Knowledge of UPD Records Management System (RMS).
  • Knowledge of Offender Management System (OMS).
  • Knowledge of State UCJIS.
  • Possess professional oral and written communications skills.
  • Proficiency with spelling, grammar, and punctuation.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

  • Able to sit and work at a computer keyboard for extended periods of time.
  • Able to perform general office administrative activities: copying, filing, faxing, running errands, using the telephone, and other tasks as assigned by investigators and/or supervisor.
  • Able to lift and move up to 25 pounds occasionally.
