Summary:

The Administrative Assistant performs a wide variety of complex, responsible and confidential administrative duties for management personnel. The ideal candidate is very detail oriented and views their work as their self-portrait. The Administrative Assistant exercises excellent judgment in performance of tasks that are both varied and moderately complex.

Essential Duties and Responsibilities:

  • Performs general administrative functions for the department, including copying, ordering supplies and equipment and handling vendor relationships

  • Supports and takes direction from multiple senior leaders

  • Coordinates management schedule and makes appointments

  • Arranges and coordinates travel schedules and reservations

  • Schedules and prepares for meetings, programs, events or conferences including arrangements for location setups and catering services as appropriate

  • Prepares agenda, handouts, documents and/or any other information for scheduled meetings

  • Attends meetings and records minutes of those meetings

  • Meets and greets guests to the department, coordinates building and department tours, represents the department in a professional manner to Operations associates and to department visitors

  • Screens incoming calls and correspondence and responds independently when possible

  • Sorts and distributes incoming correspondence, including emails

  • Composes and prepares confidential correspondence, reports and other complex documents

  • Reviews and disseminates information received from other departments and external sources

  • Coordinates and collects responses needed from operations personnel

  • Utilizes Microsoft PowerPoint in preparing targeted presentations as required

  • Updates and maintains organization charts using Visio

  • Assists with new hire onboarding and setup for operations personnel

  • Researches, compiles and analyzes data for special projects and various reports

  • Performs all other duties as assigned

Skills:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Additionally, the qualifications listed below are representative of the knowledge, skills and/or abilities required in this position:

  • High school diploma and at least 3 years of experience or equivalent combination of education and experience

  • Excellent written and oral communication skills

  • Computer and Office Skills

  • Microsoft Office suite including extensive experience using Excel, Word, PowerPoint and Visio

Education and/or Work Experience Requirements:

  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.

  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude

  • High school diploma required; bachelor’s degree preferred

  • Previous banking or operations experience preferred

Physical Requirements:

  • Ability to safely and successfully perform the essential job functions consistent with or without the ADA, FMLA and other federal, state and local standards

  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards

  • Must be able to talk, listen and speak clearly on telephone

Hours:

  • Monday - Friday / 8:00 AM - 5:00 PM
