Pay Rate : $16.00 per hour

GENERAL PURPOSE OF JOB :

Support the Agency's mission and goals by providing direct support to Maintenance and Transportation departments. The Administrative Assistant will be expected to initiate, implement/maintain efficient and effective office operations and systems.

They will perform in a manner that promotes cooperation with others by consistently demonstrating a positive attitude, remaining open and adaptable to change, by following through on all requests, and focusing on productivity.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Ensure Coarc's buildings, grounds, and equipment are safe and in proper working order, notifying a supervisor of any items needing repair or attention.

  • Work safely at all times. Perform all duties in a manner that is productive, positive, cooperative, flexible, and promotes the goals of the department and Agency.

  • Provide support to the Maintenance Department by:

  • Preparing and executing purchase orders, tracking bid solicitations, completing bid tally sheets, and completing construction paperwork.

  • Order supplies and materials for the department. Maintain an appropriate inventory of forms and office supplies.

  • Maintaining an organized, accessible and complete filing system for all maintenance paperwork and drawings.

  • Compiling and tracking reports in waste water treatment plant, water treatment systems, and building inspections.

  • Typing, creating forms and templates, answer and routing calls, taking messages, and taking meeting minutes.

  • Scheduling vendors for routine work such as fire inspections and sprinkler inspections.

  • Inputting and updating department training files, scheduling training as necessary to keep all department personal current. Scheduling training for new hires before probation period is up.

  • Reading and interpreting drawings, manuals, and schematics for buildings and equipment as needed.

  • Provide support to the Transportation Department by:

  • Ordering supplies and material for the department

  • Assisting the Transportation Manager by filling in as necessary to coordinating bus pick-ups and drop-offs, answer phones, routing calls, and taking messages, as well as communicating over 2-way radio.

  • Preparing reports as requested

  • Assisting in the coordination of transportation cancellations and early closings

  • Inputting and updating department training files, scheduling training as necessary to keep all department personal current. Scheduling training for new hires before probation period is up

  • Participate in in-house and outside trainings as required or deemed necessary

    REQUIREMENTS :

  • High School Diploma or GED (now called TASC)

  • 2 years office experience performing simultaneous tasks in busy office environment or related experience and/or training

  • Exceptional written, communication, and computer skills- experience in E-mail, Word, Excel, access software programs

  • A valid driver's license.

  • Ability to be certified in all required trainings.

  • Lift 10 pounds regularly, occasionally required to lift up to 25 pounds.
