Midwest Veterinary Supply Inc Margin and Promotions Reimbursement Analyst in Lakeville, Minnesota

Midwest Veterinary Supply is seeking a Margin and Promotions Reimbursement Analyst for our Lakeville, Minnesota corporate office. Job Summary: Review and analyze vendor contract, discount and free goods reimbursement programs for vendors. This role will be responsible for ensuring accurate pricing on the customer level, while maintaining correct margin and reimbursement values throughout numerous vendor price tiers. Review and reconcile sales analysis reports designed to capture promotional offers or discounts that are extended to our customers. Regularly dedicate amounts of time to ensure the company is reimbursed for outstanding vendor balances and free goods owed, greatly reducing the potential for write offs and subsequently lost dollars affecting the bottom line. Essential Job Functions: Review monthly contract report and prepare reimbursement requests to submit to vendors. Confirm that all orders reflect the correct contract sell price and investigate and provide issue resolution on any orders that did not. Ensure reimbursement requests are accurate and timely. Record and maintain documentation of all payment requests made. Review monthly 'Free Goods' report and prepare reimbursement requests. Confirm that orders reflecting items invoiced at no charge correctly followed the promotional terms set by the manufacturer. Provide issue resolution on problem orders that did not follow the promotion. Summarize each report indicating the final claim amount and submit to manufacturer for reimbursement. Create and maintain contract price groups for eligible customers during a set duration. This includes identifying the correct product lines down to individual SKUs to assign the new price and cost. Communicate with vendors to obtain needed information to track reimbursement contracts, as well as interpreting them to calculate the appropriate reimbursement value due back to the company. Assign the customers that are determined by the vendor to receive the pricing. Review automated receivable reports weekly to identify and record payments for submitted claims. Perform reconciliations monthly with our internal reports against vendor documentation to identify discrepancies. Research and resolve variances. Submit disputes to the vendor for additional reimbursement. Provide details on status of outstanding balances to supervisor and the accounting department. Contact vendors by email or phone if no payment is received within 60 days. Maintain spreadsheets and meticulous notes as they relate to vendor special costs and customer specific pricing. Evaluate the impact of cost/item changes to current vendor contracts. Analyze existing processes for continuous improvement in efficiency and accuracy. Work directly with vendors to negotiate and implement process enhancements. Monitor Contracts email box and respond to inquiries and requests. Complete other duties, assignments, and special projects as assigned. Cross trains and supports dept. team members as needed. Ensure accrual deadlines are met for accounting department. Process credits and rebills from the Contracts mailbox and to correct errors for various reimbursement issues Processes AHN/AHI assignments, requests, and data management as assigned. Job Requirements & Qualifications: A high school diploma or equivalent (GED) is required A two-year degree in a business-related field is preferred Must be able to perform each essential function satisfactorily. Must possess understanding of pricing and margin metrics. Must be proficient in Microsoft Excel functions, including VLOOKUP, conditional formatting, and other Logic functions. A minimum of two years' experience performing accounting related duties in accounts receivable reconciliations, and/or processing reimbursement programs is preferred. Experience providing product price/cost analyses in a distribution environment strongly preferred. Experience providing excellent customer service and building relationships with external vendors. Ab lity to read, write and speak English Ability to work in a fast paced and constantly changing environment. Ability to work independently and as part of a team. Cognos experience helpful Ability to complete tasks in a timely manner and meet deadlines A self-starter who can identify, prioritize, and accomplish multiple tasks with a very high attention to detail. Sound analytical skills, ability to manipulate and interpret data.
