On behalf of the 1898 & Co. Global Practice, we are excited to announce a new opportunity for an Executive Assistant for our Kansas City office. Due to 1898 & Co. Kansas City’s continued successful growth, we have identified a strong need for an additional Executive Assistant to support our General Manager, Chris Underwood. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and can work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the organizational challenges of supporting diverse people and programs. The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient. A high level of professionalism and confidentiality is crucial to this role. Expert-level written and verbal communication skills, strong decision-making ability, and attention to detail are equally important. This position will report to the 1898 & Co. General Manager. This position will have significant coordination responsibilities with the other 1898 & Co. Executives, Executive Assistants, and Division Management & Support staff.

Responsibilities:

The Executive Assistant will provide executive-level administrative support for an officer or general manager to ensure continuity of daily global practice or regional office functions and operations.

  • Provide high-level administrative support to the Global Practice General Manager.

  • Provide complex screening, fielding, and prioritizing of inbound communications via e-mail and calendar management to resolve critical issues in a timely manner.

  • Monitor, review, and approve standard expenditures to ensure the department's activities are conducted within established budgets.

  • Prepare a variety of communication, including emails, meeting agendas, and meeting minutes.

  • Facilitate communication between the Global Practice Executive and the group as well as internal and external clients. This may include other board members, company executives, client executives, government officials, media, and internal employees.

  • Responsible for handling sensitive and confidential information.

  • Maintain the security and confidentiality of calendars, files, records and files.

  • Facilitate document approvals and processing, including but not limited to invoices, contracts and other confidential documents. Provide signature authorization for proposals.

  • Coordinate travel arrangements and prepare travel itineraries.

  • Assist with catering and conference room management for division meetings and events.

  • Arrange conference calls and set up the related conference room. Coordinate with IT to ensure A/V equipment is in working order.

  • Assist the Global Practice Manager with calendar management, expense reports, travel, meeting coordination, and signature routing as requested.

  • Coordinate and route to accountable personnel for department-related issues and complaints, such as operational resources, workstations, space assignments and supplies, and follow up on the obtained resolution.

  • Enforce compliance with company and site safety policies.

  • Maintains and orders office supplies as needed.

  • Complies with all policies and standards.

Qualifications

  • Bachelor's Degree and 5 years of administrative experience supporting senior-level executives required or 9 years of applicable administrative experience supporting senior-level executives may be substituted for the degree requirement.

  • The position requires maintaining the highest level of discretion and confidentiality.

  • Ability to work independently; demonstrating accuracy, reliability, and problem-solving skills.

  • Advanced knowledge of Microsoft Word, Excel, and PowerPoint is required. Experience with PowerBI is strongly preferred.
