Job Summary:

The Logistics Coordinator processes and tracks orders for transportation, storage, and fulfilment in the business lines of special, and high value products. The Coordinator works closely with clients and shippers, as well as Suddath sales reps, operations personnel, van operators, and warehouse staff.

Essential Duties and Responsibilities:

Order Taking and Pricing

  • Receive order information from various sources, including Sales, Clients, Shippers, other Suddath branches or other agents

  • Review and confirm project and service requests

  • Confirm that services ordered can be completed as requested and in the time frame requested

  • Confirm order data per the minimum guidelines outlined in the incoming order handoff list based on services ordered

  • Confirm that the party placing the work has authority to place the order, including obtaining proper PO and credit approval

  • Assign origin and destination agents as needed

  • Follow administrative process for customer set up and credit approval, including Master Commercial Services Agreement (MCSA), rates & Scope of Work (SOW), Certificates of Insurance

  • Apply existing pricing if under contract or confirm pricing with Sales

  • Supply a quote or estimate as required by the client

Order Registration and Documentation

  • Enter order data in the move management system with all of the minimum information required in the registration handoff list

  • Confirm all information and special instructions have been uploaded

  • Confirm that the task list in the work flow function is complete

  • Request updates to work flow task lists for new clients or clients with changing needs

  • Confirm that other branches and agents can meet any service and date requirements requested of them

  • Create documents to complete services specific to the order, (shipping documents, warehouse documents, pick lists, labeling documents, job labor time sheets, etc.)

  • Create documents required for proper billing and revenue collection

Communications and Coordination with Operations and Other branches or agents

  • Daily complete all Work Flow tasks for each order

  • Pro-actively check on services where known issues routinely occur

  • Communicate with all participants as necessary in an order to assure timely completion of services, (Project Managers, LDD, Local Dispatch, Van Operators, Warehouse Managers and Supervisors, Installers, On-site Managers, etc.)

  • Assist in problem resolution and escalate issues that are not resolved

  • Follow up on open or escalated issues to assure resolution

  • Provide status updates on orders to clients and move participants as outlined by client or service

  • Participate in client reporting as requested

Order Tracking and Updating

  • Daily complete all work flow tasks for each order

  • Document task completion in the move management system

  • Document conversations, including content, with clients and move participants in the move management system

  • Update and note change orders whether communicated by the client or other move participants

  • Communicate with all parties as necessary to assure any change order is authorized, re-priced if appropriate, and completed on a timely basis

  • Continuously update order status in the move management system

Qualifications:

Education/Experience:

Bachelor’s Degree from an accredited college or university; five to seven years related experience; or equivalent combination of education and experience.

Language Ability:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Math Ability:

Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Computer S kills:

To perform this job successfully, an individual should have knowledge of Microsoft Office suite, ability to learn and effectively use move management software, timekeeping and other software applications used in the daily performance of job duties.
