This position may be covered by a Voluntary Employee Beneficiary Association (VEBA) *JOB DUTIES: As a Program Support Specialist, you will: * Performs administrative work by helping the Program Managers manage their workloads related to specific federal programs. * Helps Program Managers with program reporting, processing job orders and federal applications for each program to ensure timely and accurate completion of all activities related to each program’s unique and individual requirements. * Duties include program documentation processes, data collection, and program analysis. Is alert and knowledgeable about program related policy, may research state and federal laws, regulations, and policies to help interpret and implement administrative guidance and processes. * May coordinate with multiple state agencies to obtain confidential client records to determine employer’s WOTC program/tax credit eligibility. This requires knowledge and ability to access record systems and ensure compliance with privacy and confidentiality laws/rules/regulations. * Assist Program Managers to inform and coordinate the activities of the WOTC and MSFW /FLC program statewide to ensure that activities follow established guidelines and complement all other programs. Prepares and disseminates informational, promotional, and operational materials of these programs for use by local office managers, Workforce Consultants, and workforce partners. * Responsibilities include incorporating new and/or revised regulations into policy manuals and program administration, providing program and policy instructions for distribution to multiple state agencies, national consulting firms, businesses, division staff, workforce and economic development system partners. * Helps to prepare, present and/or deliver program related materials to service providers and other interested workforce partners; may attend local, state, regional and national meetings on behalf of the Program manager. * Functions as a staff resource person for the WOTC and MSFW/FLC programs. KNOWLEDGE, SKILLS AND ABILITES: If you are the right person for this opportunity, you will have the following knowledge, skills or abilities: * Skilled in office procedures, maintaining electronic and physical files, utilizing portals associated with each program for reporting and monitoring. * Able to communicate effectively with varied audiences (e.g., customers, employers, stakeholders, and partner agencies, and coworkers, et al.) verbally and in writing. * Manage large volumes of data. * Exercise creativity to resolve problems. * Able to work independently or within a team environment as required. * Pay close attention to detail and follow oral or written instructions. * Work under short and changing deadlines, multiple projects and changing priorities. * Proficiency with computer systems to work spreadsheets, forms, manipulate documents, track data and other varied office equipment. MINIMUM QUALIFICATIONS Your preparation for this opportunity could include a combination of relevant experiences including: * Bachelor's degree in public administration, business administration or human services and one (1) year responsible experience in program administration OR * Any combination of equivalent experience and education to successfully perform the essential functions of the position will be considered.
