Introduction

This position is part of the Logistics North American Business Control Team and as such will have the influence to carry out the responsibilities related to Cargo Risk Management and Freight Payables. You will work in a Team Environment with the Business Control Team driving activities that achieve the Operational, Efficiency and Cost targets of the operation.

What’s your role in the team?

You will be responsible for leading a team that covers our Cargo Risk Management and our Freight Payables to logistics providers. In this role you are to provide leadership, direction, and guidance to team members. You will take existing problems from our business and drive continuous improvement and implement processes and systems to optimize efficiency and effectiveness. In addition, this role will develop strategic plans and initiatives to achieve organizational goals.

Duties/Responsibilities:

Freight Payable

  • Lead and develop the invoice and cost control function within the Logistics North America Business Control team with a focus on quality and control (Incoming and Outgoing Invoices). 

  • Supervise and mentor a team of financial analysts, providing guidance and support as needed.

  • Setup risk assessments and control narratives to ensure our Accounts Payable process has no gaps

  • Manage and maintain the Cass Information Systems Freight and EPES Freight Management payment relationship (Third Party Vendors)

  • Maintain relationships with freight carriers and vendors, resolving any payment issues or discrepancies promptly

  • Lead and ensure our invoices match our Transport Management System

  • Highlight areas of supplier noncompliance costs to be used in purchasing decisions

  • Participate in selected cross functional forums and represent Business Control

  • Generate KPI’s and analyze reports related to freight payments, volumes, and trends, providing insights to Logistics NA Stakeholders

  • Collaborate with other departments such as Logistics, Procurement, and Finance to optimize freight payment processes and resolve issues

Cargo Risk Management

  • Know the rules & the market - Stay updated on relevant regulations, insurance related matters or other practices in the responsibility area

  • Translate regulations into practical solutions for the Volvo business

  • Secure active communication links with main stakeholders, for example purchasing, development functions, supplier management or operational functions to:

Establish clear requirements on suppliers / other stakeholders external or internal related to cargo risk management

Support with loss prevention expertise

  • Work closely with the Central Team in Sweden

  • Ensure team members are being developed and stay current on new regulations and processes

  • Define the high-level risk management process to secure that major risks in the logistic chain are identified and responded to

  • Develop and maintain Performance indicators

  • Ability to work with customers and dealer network

  • Regularly identify and mitigate risks associated with cargo transport & in transit storage

  • Continuously work to optimize cost levels, e.g.

  • Deducible levels are balanced vs local practices, efficiency & risks

  • Secure adequate claims handling to secure customer satisfaction and Volvo efficiency

  • Support in case of major damage when needed and inform involved stakeholders

Required Qualifications:

We are looking for candidates with the following skills, knowledge, and experience:

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field

  • Previous experience in freight payable management or related roles, preferably in a logistics or automotive environment

  • Demonstrated leadership skills, with the ability to develop and motivate a team to achieve departmental goals

  • Strong understanding of tools and technology to enhance existing processes and increase efficiency

  • Proficiency in accounting software and Microsoft Excel for data analysis and reporting

  • Strong communication and interpersonal skills, with the ability to interact effectively with internal and external stakeholders

  • Strong problem solving and root cause analysis skills are a must

  • Ability to work in a fast-paced environment and manage multiple priorities effectively

Preferred Qualifications:

  • Certification in Accounting or Supply Chain Management

  • Experience with freight payment software or ERP systems

  • Knowledge of international freight and customs regulations.

  • Experience in process improvement methodologies such as Six Sigma or Lean

  • Understanding of the general claims process
