SUMMARY
This position is a technical position in the Student Records Office that is responsible for work within the campus wide information system and systems management of student-oriented processes and tools related to graduation and completion.
ESSENTIAL FUNCTIONS
• Work in Collaboration with the Student Records leadership team in implementing campus-wide information system (PeopleSoft) curriculum work: set up programs in the course catalog and academic plan table in PeopleSoft. • Build academic advice reports used for degree auditing for financial aid, faculty and students and oversee the batch graduation process for degrees, certificates, and Michigan Transfer Agreement (MTA). • Facilitate regular meetings with stakeholders of Academic Advisement and Navigate academic planner (semesterly) to incorporate needed changes due to policy and transfer guidance. Ensure any issues are addressed and resolved within the tool for the user-end. • Develop and offer necessary training for faculty and staff users. • Report enrollment and graduation records to the National Student Clearinghouse in compliance with federal regulations (National Student Loan Database). Utilize enrollment files, graduation only files, and degree verification. • Maintain compliance with federal title IV requirements for campus and program enrollment and graduation reporting. Track enrollment reporting statistics within NSLDS. Take the lead on gathering documentation for the annual A1 33 audit for submission to the Registrar/auditors. • Maintain working knowledge of NSLDS enrollment reporting guide and its requirements as they relate to GRCC's reporting requirements. • Responsible for the oversight of procedures for student declarations of academic plan. • The Assistant Registrar-Graduation is the data owner of this information in the campus wide student information system and is responsible for training on the responsibilities of data updates and monitoring accuracy of the data maintained. • Supervise the Graduation Audit Specialist • Manage student communication (3 Cs) related to graduation, generated graduation, academic plan changes, and gainful employment. • Utilize CRM for Commencement/Grad Fest Communications. • Responsible for ordering and inventory of diploma materials for Commencement. • Identify, award, and notify Delta Pi Alpha, President's List, and Dean's List recipients each semester. • Maintain graduation application and graduation related web pages and documents. • Work closely with the Academic Advising and Transfer Center to support project management of joint initiatives/projects related to graduation. • Responsible for the oversight of GRCC Generated Graduation (Policy 8.24) and opt-out notification requirements. • Develop and maintain Student Records/Registrar's web page for up to date information on policies. Manage updates and revisions to web forms: Graduation application and Declaration of Academic Program. • Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position. • Performs other related duties as assigned.
