Job Title: Deputy Contracts Office Manager (DOE -G)

Job Summary : EMCOR Government Services has an immediate need for a Deputy Contracts Office Manager for a location in Germantown, Maryland. This position involves the oversight of administrative staff for successful financial reporting of the account on a monthly basis. The position also includes an emphasis on monthly billing in a fast paced environment which includes the creation of Purchase orders, work orders, and Job Setup.

Duties and Responsibilities:

  • Serve as the “Deputy COM”; Be prepared to Assume COM roles and responsibility.

  • Operate DOE G Warehouse operations.

  • Prepare payroll submissions for COM approval.

  • Primary for Building Access Memos

  • Manage Work Queue – Invoices paid.

  • Execute and manage the PO process (create review…)

  • Primary for Badging

  • Assist OM in O Drive Management – Knowledge Management of O Drive

  • Assist OM in Deliverables Management

  • Primary SharePoint QC

  • P-Card reconciliation

  • Review WIP and TM Weekly

  • Assist help desk with reports from the CMMS for weekly meetings.

  • Back up for Help Desk

  • Any other duties assigned.

  • Order Office Supplies

  • Order Uniforms, equipment, PPE

  • Create POs

Qualifications:

  • Must be a US citizen

  • Proficiency in JD Edwards accounting software is preferred.10 years direct experience in the HVAC industry and DDC control systems.

  • Ability to organize and lead a group of people

  • Ability to work with management systems and variety of skilled/unskilled, professional, administrative, and industry personnel.

  • Experience and knowledge of office administration, reporting, budgeting and control, CMMS Systems (Maximo) and business operations, purchasing, inventory control, fire, and safety management.

  • Strong experience with MS Office

  • Excellent communication skills – verbal and written.

  • Ability to work independently or as member of a team

  • Ability to adapt to ever changing priorities
