Job Description:This position is in the School of Human Development and Organizational Studies in Education. Duties include maintaining/monitoring of student records for programs in Educational Leadership (EDA), Higher Education Administration (HEA) and Student Personnel in Higher Education (SPHE). Check status of current student’s progress in completing paperwork to establish supervisory committee's and program plans. Process transfer of credit forms and petition letters. Arrange qualifying examinations and specialist exams. Distribute exams to all committee members. Reserve rooms for qualifying exams and dissertation defenses. Assist students with registration. Place students on permission list to register for special cohort sections. Correspond with students and provide registration information/instructions each semester. Authorize graders, input grades, monitor completion and submission of final grades. Verify student records and degree requirements for degree certification. Send out Defense & Thesis Announcements. Correspond with potential applicants during the admission process. Prepare applicant files for the faculty review process. If necessary, arrange interviews with faculty for potential students. Prepare and send out acceptance, denial and cancel letters. Provide departmental support to faculty and assist students.

Job Duties:

Assist students with registration

  • Add students to courses that need special permission from instructor. Add students to the permission screen on all departmental controlled courses. Notify students each term of registration, drop/add, fee payment deadlines and other department/college/graduate school announcements. Coordinate student registration lists with program coordinators.

  • Manage admissions process for all Educational Leadership and Higher Education Doctoral Programs Ed.D. & Ph.D. Correspond with potential applicants, prepare applicant files for the faculty review process, and maintain applicant spreadsheet. Prepare and send out acceptance, denial and cancel letters. If necessary, arrange interviews with faculty for potential students.

  • Verify student records for graduation and degree certification making certain that all requirements have been met. Monitor the degree list for graduating students. Perform internal degree checks on graduating students to ensure they’ve completed all courses necessary, have the appropriate number of hours to graduate for their respective programs, and have no outstanding I grades/failing grades, etc. Work with the Graduate School to resolve any outstanding degree issues/requirements. Enter faculty escorts names for doctoral students in GIMS for commencement.

Monitor student progress

  • Check student records for completion of required forms (i.e., supervisory committee and program of study, etc.). Notify students of these requirements. Enter advisor in GIMS for all new students every semester. Process transfer of credit forms and related petitions. Enter IDP’s for doctoral students. Send out dissertation defense announcements. Monitor important semester dates and deadlines. Understand all rules, regulations, and procedures of the Graduate School, College of Education and department to provide information and assistance to faculty and students.

Serve as the department grade coordinator

  • Monitor all grades for the department. Input multi-instructor grade section and adjunct grades as necessary. Send out reminders to all instructors.

Departmental office duties as needed

  • answer phones, check the mail, room scheduling, and occasionally help to prepare for program events.

Expected Salary:

Commensurate with qualifications and experience.

Minimum Requirements:

High school diploma or equivalent and three years of relevant experience.

Preferred Qualifications:Strong computer skills, ability to plan, organize, coordinate work assignments, and communicate effectively verbally and in writing.
