Job Description

The Academic Program Coordinator, Int. position is the main point of contact for the School of Art + Design in the College of Arts & Letters. This position serves the operational needs of the department by serving the Director, the faculty, staff, students, visitors, and other internal and external stakeholders. This position will work closely with the Director, Associate Director, and the Department Financial Oversight Analyst, Senior.

Management & Administrative Oversight - 50%

  • Screen emails, phone calls, walk ins and direct to appropriate staff or other university department if they are unable to resolve the issue.
  • Collect and distribute departmental or program mail.
  • Review and route student and faculty forms for department.
  • Work as liaison for department in interactions with the NAU HR and Financial Service Teams.
  • Assist with departmental travel pre-approval paperwork for faculty.
  • Submit office and classroom supply orders and use department purchasing card for approved expenditures.
  • Collaboration with Director and Financial Oversight Analyst, Sr. ensuring departmental expenses stay within budget limit.
  • Issue keys per NAU policies and procedures to grant access and assign and prepare office space for Art + Design faculty and graduate teaching assistants.
  • Manage and update the department\'s webpages on a regular basis.
  • Maintain monthly programming and maintenance of the copier. Add new users, set & reset quotas, order supplies, and make lease payments.
  • Maintain computer inventory for department. Order new computers for Art + Design and assist in getting them programmed for the end users depending on where they will be used, on or off campus. Dispose of old computers as directed/needed while following NAU policies and procedures.
  • Manage budgets with the NAU foundation utilizing their separate policies, procedures, and software.

Scheduling Assistance & Event Support - 20%

  • Assist department leadership with scheduling and managing meetings and events.
  • Work with department leadership and Registrar on schedule of classes and assist with the CourseDog system for scheduling classes, assigning faculty, and making changes as needed.
  • Assist with all aspects of special event planning such as receptions, scholarship dinners, guest lecturers, film series, and department retreats.Including event invitation/promotion, organizing and itineraries for visiting speakers/lecturers (organize vendor payments), securing venues, and placing food orders.

Recruitment and Student Support - 15%

  • Coordinate and manage the department\'s scholarships program.
  • Support/coordinate faculty searches, which includes processing applications and assisting with itineraries.
  • Assist with temporary part time facul y hiring and contract processing.
  • Provide student services support including, but not limited to, continuing student contact with majors, minors, and prospective students, assisting with mentor assignments and is a liaison between students, faculty mentors, and college professional advising staff.

Supervision - 10%

  • Hire, train, and supervise student employees for front office coverage in department.
  • Act as department timekeeper - oversees payroll information for student and temporary workers.

Other - 5%

  • Other duties as assigned.

Minimum Qualifications

  • Bachelor\'s degree in a relevant field.
  • 2-4 years of relevant administrative/coordinative program experience.
  • A combination of related education, experience and training may be used as an equivalent to the above Minimum Reqirements.
