Job Description

The Department of Psychological Sciences (PSY) is looking for an Academic Program Coordinator Intermediate to support the maintenance and coordination of undergraduate and graduate programs in Psychological Sciences, and the Interdisciplinary Health (IH) PhD Program. This position is expected to work independently with some latitude for personal decision making to meet departmental objectives within appropriate time frames and within university policy and procedures. They will communicate regularly with the Chair, department leadership, and Director of the IH PhD Program. In addition to the programmatic operations, this position is responsible for managing the front office operations of a very active department.

Program Coordination - 30%

  • Responsible for publicizing scholarship opportunities by assisting with application distribution, submitting check requests, mailing award letters, and ensuring the department is adhering to departmental responsibilities per the scholarship process.
  • Collaborate with departmental leadership to develop and maintain strong and sustainable graduate marketing/recruitment plans, including updating the website in support of the program.
  • Manages and executes department events, responsibilities include invitation tracking, reserving event space, coordinating with Campus Events teams to complete required paperwork.
  • Provide support for international initiative programs such as PsychSTEP, Faculty abroad, Sri Lanka, summer/winter session classes in China.
  • Act as community liaison, coordinating with community engagement leads to foster high-impact relationships with community partners, may include organizing volunteer and service activities within the community.
  • Determine and reserve appropriate teaching environments for PSY undergraduate, graduate, and IH PhD doctoral programs, schedule independent study sections and generate enrollment permission codes.

Financial Oversight and Support for Programs - 25%

  • Manage, process, and track all deposits and vendor payments for the Department of Psychological Sciences and Interdisciplinary Health PhD programs through ServiceNow or similar platforms.
  • Assist with monitoring budgets for department expenditures; advises department chair on discrepancies with expenditures and works with Finance Team as needed.
  • Assist in managing and tracking over 30 Faculty Professional Development Funds.
  • Work with the Office of Sponsored Projects to obtain grant numbers for purchases of start-up equipment.
  • Manage and track international initiatives budgets.

Administrative Oversight - 20%

Acts as main point of contact for program participants and other program stakeholders or constituents, including managing telephone and email communications.

Responsible for maintaining the department ListServ and directory, along with answering all PSYInfo.com and PSYPosterPrinting.org messages.

Manages the office functionality, including sorting incoming or outgoing mail, signing for deliveries, ordering office supplies copier maintenance and organizing employee mailboxes.

Responsible for checking out all office/lab keys in the building and maintaining a log to ensure all keys are accounted for according to streamlined check out process.

Maintain departmental documents and forms including Standard Operating Procedure binders (SOP\'s), collecting syllabi, maintaining documents on NAUShares drive and routing student petitions or grade change forms.

Maintain room calendars and reservations for SAS Conference Rooms 302/334.

Participate, plan and prepare for departmental meetings, take minutes at required meetings and disseminate notes as appropriate.

Assist PSY Graduate Committee in downloading student applications, calculating GPA\'s, and merging PDF documents for selection committee.

Assist with initiation of purchases for office/lab supplies, IT hardware/software, membership renewals, conference registrations, travel, etc. using department pcard process.

In collaboration with the Dean\'s Office and ITS, manage computer, printer, and other NAU tagged inventory items. Maintain inventory spreadsheet and assist in the purchase, collection, and disposal of outdated equipment to property surplus.
