Fairfield University Senior Coordinator for the Associate Deans, CAS in Fairfield, Connecticut

Job Description:

Division: Academics

Department: College of Arts & Sciences

Reports to: Assistant to the Dean

Basic Functions: Assist the College of Arts and Sciences Dean’s Office by providing strong administrative support to the Associate Deans, providing support with scheduling, specialized projects and/or events; performs office-related operational functions as requested.

Skillset : Proficient technology skills required. Adept in MS Word, Excel and Outlook. Knowledge of Banner and Work Day is preferred. Strong interpersonal, communication, and organizational skills are required, as well as the ability to exercise tact and diplomacy relative to sensitive issues.

Provides general office support. This involves:

  • support Associate Dean with process for Kaplan Prep Courses

  • manage the student registration for LSAT, MCAT and DAT Prep courses though the University TouchNet System

  • work with Kaplan representative to register students

  • keep ongoing record of student registrations for tracking and verifying invoicing

  • work with Director of Operations and Budget Manager on invoicing payments to Kaplan

  • assist Associate Deans with posting of events and ensuring pertinent information on the College of Arts and Sciences portal is appropriately updated upon request

  • support with managing the logistics for program assessments—assisting with logistics for external review team, scheduling hotel, catering, travel reimbursement, etc.

  • assist Associate Dean with the collection of new one-year visiting faculty line requests and approvals

  • supports the Individually Design Major once a semester, taking meeting minutes upon request

  • scheduling of meetings and managing logistics

  • Task Force Committee Meetings

  • Individually Design Major Meetings

  • Interdisciplinary Program Directors Semester Meetings

  • CAS Institute and Centers

  • Monthly CAS Marketing Meetings

  • Annual Faculty Search Planning Meetings with Dean, Special Assistant to the Dean, Department Chair, Human Resource Representative and VP of Diversity

  • Admissions Events & Orientations

  • assist Associate Deans with specialize projects upon request

  • front office coverage/support as needed

Participates in the professional development of the College of Arts and Sciences. This involves:

  • communicating effectively with the College Associate Deans and other team members concerning pertinent program, departmental and University matters

  • promoting an image of efficiency and courtesy consistent with the University mission

  • participating in staff meetings as requested

This position is based at Fairfield University’s Fairfield, CT campus and is not eligible for immigration assistance.
