Department Summary

The College of Arts and Sciences (CAS) is the hub of learning, research, and academic excellence at the University of Oregon. This position is in an Academic Support Unit (ASU), which houses staff, managers, and an Associate Director who provides administrative, strategic, and operations support to multiple academic departments in CAS. ASU 8 supports the School of Computer and Data Sciences, the Departments of Computer Science, Data Science, Mathematics, and Earth Sciences, the research lab, The Oregon Hazards Lab (OHAZ), and the research center, Cascadia Region Earthquake Science Center (CRESCENT).

Position Summary

The Operations Assistant provides administrative and logistical support for the operations section of ASU 8. This position supports the Operations team by performing tasks such as contacting vendors, planning and hosting events; collecting and entering finance requests through ticketing systems; and maintaining listservs and records. This position will provide back-up support in reception duties such as distributing mail, ordering supplies, assisting faculty and students, and directing student workers. This position will also collaborate with the Operations Manager to assist with communications tasks through social media, website updates, and assorted marketing and promotions in compliance with brand standards set by University Communications.

This position is Hybrid Eligible with a majority of service performed as on-campus work. Remote Work (Telecommuting) requires approval from the Associate Director of ASU 8 and is subject to the University of Oregon Human Resources' Flexible Work Arrangements Policy and Procedures.

The Operations Assistant reports directly to the Operations Manager in the ASU.

Minimum Requirements

• Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR

• An Associate's degree in Office Occupations or Office Technology; OR

• Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

• Ability to develop extensive knowledge of, explain, and apply administrative rules, requirements, policies, and procedures.

• Knowledge of a variety of computer software programs including Microsoft Office (Excel, Word, Publisher, Outlook, and OneNote) and web-based application software.

Preferred Qualifications

• Experience with event planning.

• Experience working in a college or university setting.
